Overview
VTG is seeking an Executive Assistant to support our Navy customer in Washington, DC. This position is onsite at the Washington Navy Yard. The Executive Assistant will serve as the primary integrator for the Self -Defense System Director (SSDS) with coordinating programmatic, technical, and organizational actions across IWS 80, PEO IWS, NAVSEA, Warfare Centers, shipbuilding programs, Fleet stakeholders, and industry partners. Ensures alignment of priorities, timely execution of leadership direction, and effective communication across internal and external organizations

VTG's estimated starting pay range is $90,000-$105,000 which is a general guideline for the geographic location. When extending an offer, VTG also considers work experience, education, skill level, market considerations and may possibly include contractual requirements which may cause an offer to fall outside of this range.

What will you do?
- Manages the Director's tasking portfolio, including tracking and adjudicating high-visibility taskers, action items, and strategic initiatives. Monitors suspense requirements, coordinates responses, and ensures timely completion of executive-level deliverables supporting program execution and leadership decision-making.
- Develops, integrates, and reviews executive-level briefing materials, decision papers, read-ahead packages, and reports for senior leadership engagements, program reviews, and milestone events. Coordinates with program management, engineering, and acquisition teams to ensure technical and programmatic accuracy.
Maintains situational awareness of program priorities, risks, issues, and leadership initiatives, enabling the Director to effectively engage with Flag, SES, and senior acquisition leadership. Facilitates cross-organizational coordination to resolve issues, remove barriers, and support program objectives. - Advises the Director on organizational operations, workflow efficiencies, and communication strategies to improve effectiveness and execution. Implements and improves business processes, task management tools, and administrative systems to enhance organizational performance.
- Coordinates executive engagements, leadership meetings, and strategic communications, ensuring the Director is fully prepared and informed for all interactions with senior stakeholders.
- Provides comprehensive executive administrative support to the SSDS Director, including calendar management, travel coordination, correspondence control, and office operations.
- Manages and prioritizes the Director's calendar, scheduling meetings, reviews, and engagements across Navy, DoD, and industry stakeholders while balancing competing priorities and ensuring effective time management.
- Helps plan and prepare domestic and international travel using the Defense Travel System (DTS), ensuring compliance with Navy policy and mission requirements.
- Serves as the primary correspondence manager for the Director's office, reviewing, assigning, tracking, and managing incoming and outgoing correspondence, taskers, and communications. Ensures products meet Navy and NAVSEA standards and are delivered on schedule.
- Coordinates visit requests, visitor access, and leadership engagements, ensuring compliance with security, protocol, and administrative requirements.
- Maintains office records, files, and administrative systems in accordance with NAVSEA policies and security procedures, including handling sensitive and classified materials as required.
- Provides administrative coordination and support for meetings, including preparation of agendas, read-ahead materials, and meeting summaries.
Do you have what it takes?
- 6+ years of administrative experience.
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and familiarity with DTS and collaboration platforms such as SharePoint and task tracking tools.
- Must have excellent organizational skills and be able to perform efficiently and effectively on multiple projects under tight deadlines.
- Must have strong interpersonal skills and be able to communicate effectively, both verbally and in writing, with the customers.
- Must have and maintain and active DoD Secret clearance.
