JOB TITLE: Project Administrator

BUSINESS SERVICE LINE: PAC Honolulu Office

REPORTS TO: Program Manager

SUMMARY: As a Project Administrator, you play a critical role in supporting the successful execution of projects by providing administrative assistance and coordinating project-related activities. You will work closely with project managers and team members to ensure effective project planning, documentation, and communication. Your attention to detail and organizational skills are essential to maintaining project schedules and facilitating seamless project operations.

DUTIES AND RESPONSIBILITIES:
  • Assist project managers in developing project plans, timelines, and deliverables.
  • Create and maintain project documentation, including project charters, work breakdown structures, and project files.
  • Coordinate project meetings, including scheduling, agenda preparation, and minutes taking.
  • Monitor project progress and track key milestones, tasks, and action items.
  • Assist in resource allocation and scheduling of project team members.
  • Maintain project communication channels and ensure timely dissemination of project-related information to stakeholders.
  • Track project budget and expenses, ensuring accurate and timely reporting.
  • Assist in the preparation of project status reports and presentations.
  • Conduct research and gather relevant data to support project activities.
  • Collaborate with cross-functional teams to ensure alignment and effective communication.
  • Provide general administrative support, such as managing calendars, coordinating travel arrangements, and handling correspondence.
  • Support the procurement process by assisting with vendor selection, contract management, and purchase orders.
  • Maintain project documentation and records in accordance with established guidelines and standards.
  • Identify and escalate project risks and issues to the project manager for timely resolution.
  • Contribute to continuous improvement initiatives by suggesting process enhancements and best practices.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties in this job classification.

QUALIFICATIONS:
  • Bachelor's degree in a relevant field or equivalent work experience.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent attention to detail and accuracy in work.
  • Proficient in using project management tools and software, such as Microsoft Project or similar applications.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and teamwork abilities.
  • Ability to adapt to changing priorities and work effectively in a dynamic environment.
  • Strong problem-solving and analytical skills.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management methodologies and processes.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Self-motivated and proactive, with a commitment to delivering high-quality work.
  • Ability to work independently and collaboratively in a team environment.
  • Must be able to obtain required base passes (DBIDS, AIE).
  • Must have valid drivers license and capable of driving themselves to the project site.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:
  • Occasionally required to stand, walk, and sit for extended periods.
  • Frequently required to use hand and finger dexterity for typing and handling documents.
  • Occasionally required to bend, stoop, kneel, or crawl.
  • Occasionally required to lift and carry project materials or equipment.
  • The work environment can typically be an office setting with moderate noise levels at the main office or at a project site.
