Help

As a ADMINISTRATIVE SUPPORT SPECIALIST at the GS-0341-12 some of your typical work assignments may include:
  • Holds primary responsibility for all administrative functions, ensuring compliance with policies and providing guidance and advice to staff on a full range of administrative support services.
  • Manages all internal and external communications, screens inquiries, determines appropriate action, drafts executive summaries, and creates presentations for organizational issues, projects, and budgets.
  • Evaluates administrative management services, plans and coordinates special projects and studies, and provides advisory services on substantive issues to assess program effectiveness.
  • Manages the Government Purchase Card and Government Travel Card programs, tracks budgets and acquisitions, prepares travel authorizations, and serves as a travel administrator for the organization.
  • Manages the calendars for the Director and Deputy Directors, establishing priorities, scheduling meetings, and handling all logistical arrangements for conferences and appointments.
  • Develops and maintains tracking systems for agency initiatives, budgets, and projects to monitor progress and foster success in meeting administration mission goals.
  • Assists in developing and streamlining policies to improve overall effectivity and effectiveness of the PSP. Anticipates and plans for emerging administrative support requirements of the organization.

Qualifications

You may qualify at the GS-12, if you fulfill the following qualifications:

A. One year of specialized experience equivalent to the 11 grade level in the Federal service:
  • Comprehensive knowledge of administrative principles, concepts, and methodologies to manage broad and complex programs and advise senior leadership.
  • Skill in applying analytical and evaluative techniques to assess the efficiency and effectiveness of program operations and to recommend improvements or new work methods.
  • Ability to independently analyze and resolve complex administrative issues related to travel, timekeeping, budget, protocol, and correspondence management.
  • Expertise in managing executive-level communications, including drafting policies, creating presentations, and acting as the organizational point of contact for internal and external inquiries.
  • Knowledge of management goals and strategies to manage executive calendars, facilitate coordination between directors and staff, and integrate planning efforts across different work units.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

Substitution of education may not be used in lieu of specialized experience for this grade level.
