Position Description Summary:
The Administrative Support and Graphics Specialist provides senior-level administrative, documentation, communications, and graphics support for a high-visibility government program. The role combines executive support, document development and editing, presentation and briefing production, meeting and event coordination, technical documentation support, and visual communications. The position also supports program planning, governance, onboarding/offboarding activities, stakeholder communications, and maintenance of documentation libraries and related deliverables.
Responsibilities:
• Compile, type, edit, and format reports, letters, memos, proposals, manuals, cost estimates, spreadsheets, PowerPoint presentations, and other deliverables
• Integrate text and graphics into cohesive presentations, briefings, and documentation packages
• Review materials for typographical accuracy, grammar, spelling, punctuation, composition, clarity, consistency, and format
• Prepare special reports, summaries, and responses to inquiries using relevant program data and supporting documentation
• Coordinate highly visible seminars, conferences, program meetings, executive meetings, and related logistics
• Assist with executive presentations, agenda development, action item tracking, and drafting executive communications from meeting notes
• Support onboarding and offboarding activities, including personnel security documentation, access forms, badge/IT access processing, personnel folders, and related records management
• Maintain documentation libraries, technical documents, systems/programming/operations documentation, and other program records
• Provide PMO communication and change management support, including written and graphical materials, fact sheets, talking points, newsletters, FAQs, brochures, training materials, exhibits, and presentations
• Support stakeholder engagement, audit support activities, scheduling, calendar management, correspondence, conference room coordination, and special event support
Skills & Experience:
• Minimum five (5) years of relevant experience
• Experience with SharePoint, Microsoft Word, Excel, and PowerPoint
• Expert experience coordinating logistics and public-facing support for highly visible seminars, conferences, and program meetings
• Expert experience supporting the creation, maintenance, and analysis of technical documentation, presentations, and reports, including document assembly, editing, and related administrative/financial support
• Proficiency in organizational change management standards
• Proficiency in IT project management using Microsoft and graphic tools
• Ability to create, critique, and update programmatic briefings and ghost emails for senior management
• Strong analytical, written, interpersonal, oral, and visual communication skills
• Creative, strategic thinker and self-starter with the ability to solve complex programmatic problems
• Ability to multitask, deconflict priorities, and remain accountable for assigned projects and tasks under broad guidance
• Ability to build productive working relationships and support timely coordination, scheduling, and follow-up
