Responsibilities
Key Responsibilities:
- General supervision and guidance to support staff.
- Maintain the Senior Leadership's calendar to ensure priority needs are considered and met.
- Review, analyze, and screen incoming correspondence, routing issues of overriding and central importance to the Senior Leadership and all other correspondence to appropriate staff members.
- Obtain complete background information from responsible officers in the Department and elsewhere on matters formally submitted to the Senior Leadership for decision. Ensure materials are clear, concise, coherent, and complete. Request any necessary amplification and revisions of material prior to transmittal to the Senior Leadership or other staff.
- Maintain liaison -- as needed -- with senior officials both within and outside the Department. Make independent decisions on selected matters that can be resolved with own expertise. If necessary, task bureaus and offices in anticipation of the Senior Leadership's needs.
- Ensure formal decisions, recommendations and suggestions made by the Senior Leadership are passed to the proper offices for implementation or review. Follow-up to ensure prompt action. Monitor ongoing substantive matters as instructed by the Senior Leadership.
- Oversee the preparation of materials for use by the Senior Leadership at high levels and sensitive meetings and conferences, gatherings, and public appearances both within the United States and abroad. Assist with logistical planning for the Senior Leadership's participation in these meetings.
- Prepare confidential background material and reports for the Senior Leadership's use in preparing the Assistant Secretary and Under Secretary for meetings with other USG officials, leaders and high-level officials of foreign governments, White House staff, and Members of Congress.
- Escort officials to meetings with the Senior Leadership and ensure they arrive in a timely manner.
- Assist with the coordination of all travel arrangements necessary for the Senior Leadership's travel and that of her staff.

Qualifications

- Secret Clerance is required.
- Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.
Minimum Skills:
- Excellent interpersonal and oral communication skills.
- Excellent customer service skills.
- Strong organizational skills, attention to detail, including follow-up on pending tasks.
- Proficient in MS Office, Word, Outlook, PowerPoint, and Excel.
- Timely, accurate, complete and up-to-date work products.
- Excellent written and oral communication skills.
- Excellent time management skills.
- Ability to operate significantly under own initiative and as part of a team, including drafting proposals and recommending effective approaches to tasks with minimal guidance.
- Ability to work with a wide variety of actors in the E Family and other Bureaus and offices, as well as with interagency and external partners.
Preferred Qualifications:
- Associate's or Bachelor's degree in Business Administration, Communications, or a related field.
- 5+ years of experience in executive-level administrative support, preferably in a government contracting, corporate, or professional services environment.

Working Conditions:
- Professional office environment, with the ability to work onsite in the main office.
