Great Hill is seeking an Administration Coordinator to join our Ministry of Defense Advisor (MoDA) team. This role is responsible for supporting MoDAs throughout their time in the MoDA program from pre-departure actions to support while they are in country and finally coordinating their return from assignment. Additionally, this role is accountable for developing a range of program documentation for government review and signature. This includes the ability to manage MoDA data in the shared drive, Microsoft Teams, and Microsoft SharePoint which are utilized for up-to-date tracking of all overseas advisors and those in pre-departure status.

Roles and Responsibilities include, but are not limited to:
- Support research on current policies and regulations to ensure each member traveling to/from overseas follows the latest rules and regulations.
- Assists the government with interpretation of current policy and regulations on PCS/TCS overseas moves and approved entitlements.
- Create, edit, and update advisor forms and country information for the program as required for the advisor's assignment (e.g., Draft orders, SF-1190s).
- Supports review of TCS/PCS orders, JTR, and updates relevant guidance.
- Act as key support function for coordination of advisors' preparation before assignment.
- Collaborates with site lead and senior coordinator for preparation and filing of forms/memos/etc.
- Uses software programs such as SharePoint and Teams and other database management systems to update structures and standards in coordination with the Program Management Office.
- Develop and update Standard Operating Procedures for all information mediums used for management of the MoDA program.
- Create and maintain Frequently Asked Questions, Briefings, and other materials to communicate the program across Department of War (DoW) and to MoDA's parent organizations.
- Assist with planning, coordination, and policy inputs for the Statement of Understanding document.
- Collect and analyze data for various identified reports/projects over multiple lines of effort across all MoDA advising efforts.
- Provide coordination support to advisors in collaboration with the site lead and senior coordinator.
- Must have proficiency in Microsoft 365 administrative products, develop working-knowledge for other software programs used, and be able to retain concise records.
- Ability to manage historical reference documents and properly secure Controlled Unclassified Information (CUI).
Position Requirements:
- Active Secret Level Clearance is required.
- Must be a US Citizen.
Basic Qualifications:
- Must have 2-4 years of practical experience in database management, research analysis, and DoW transportation and travel regulations.
- Experience working with military, DoW, and other government agencies.
- Able to manage timelines, set meetings, prepare documents for US Government final actions.
- Demonstrated ability to create and maintain records for government use.
- Collaborative team member with the ability to initiate tasks with little oversight.
- Possess strong communication and interpersonal skills and work effectively in a team operational environment.
- Be detail-oriented, with the ability to coordinate multiple lines of effort across all projects.
- Demonstrate effective time management and organization skills to synchronize planning schedules for multiple projects.
- Proficiency and ability to operate Microsoft 365 applications including Outlook, Word, Excel, PowerPoint, Teams , and SharePoint.
- Knowledge and ability to operate a Personal Computer, Macintosh, printer, scanner, and facsimile.
Preferred Skills:
- Self-starter who takes initiatives on projects, as assigned.
- Works well both in teams and independently.
- Ability to remain positive and forward thinking in an agile work environment.
