Overview

Nakupuna Services is seeking a Database Sustainment Specialist (DSS) to support the Defense Health Agency (DHA) Facilities Enterprise in the sustainment, accuracy, and optimization of the Defense Medical Logistics Standard Support (DMLSS/LogiCole FM) system at designated Military Treatment Facilities (MTFs). The DSS provides on-site functional and technical support for DMLSS-FM Facility Management modules, ensuring accurate facility, room, and equipment inventory data; supporting regulatory compliance programs; maintaining project and requirement modules; and assisting Facility Management teams with data-driven decision-making. This role directly supports DHA's mission to maintain a reliable and up-to-date inventory of facilities to ensure operational readiness and compliance.

This is an on-site position located at a government installation.

Responsibilities

The following reflects management's definition of essential functions for this job but does not restrict the tasks that may be assigned.

DMLSS-FM Inventory Management
  • Create, maintain, and update Facility Inventory, Room Inventory, and Facility Systems Inventory (FSI)/Real Property Installed Equipment (RPIE) modules within DMLSS-FM
  • Populate and validate all required data fields including Real Property Asset, Asset Allocation, Asset Configuration, Funding, and associated tabs
  • Perform 100% Room Inventory validation in accordance with DHA taskers and coordinate data accuracy with MEPRS coders, Environmental Services, and DMLSS System Administrators
  • Conduct validation surveys of FSI/RPIE in coordination with Operations & Maintenance personnel
  • Inactivate outdated or obsolete records upon approval of Facility Manager

Requirements & Project Management Module Support
  • Maintain and update records in the DMLSS-FM Requirement Management and Project Management modules
  • Support annual updates of DHA-mandated requirement fields
  • Associate facility requirements with requirement packages and projects
  • Track project financial data, contract modifications, and maintain Project Management Journals
  • Support DHA and MTF data calls


Regulatory Compliance & The Joint Commission (TJC) Support
  • Administer the DMLSS-FM Regulatory Compliance/TJC module
  • Enter recurring inspection requirements and associated documentation (fire drills, generator testing, safety training, etc.)
  • Monitor corrective action timelines and notify management of expiring items
  • Ensure Life Safety work requests are properly classified and generate Statement of Conditions (SOC) reports as required
  • Attend Environment of Care (EOC) tours and document meeting minutes

Drawing & Space Management Support
  • Upload and maintain DrawBase/CAD-compatible drawings within 10 business days of receipt
  • Maintain records of facility layout changes and provide quarterly updates to facility management staff
  • Support and attend Facility Space Utilization Boards (FUB) and document approved changes

Work Request & Preventive Maintenance Support (When Applicable)
  • Utilize the DMLSS-FM Work Request module to track preventive and corrective maintenance activities when not covered by an O&M contract
  • Ensure accurate cost and history tracking to support Facility Life Cycle Management (FLCM)
  • Maintain preventive maintenance schedules and maintenance procedures when required

Training & Customer Support
  • Attend initial DMLSS classroom training within 90 days of hire and complete required web-based and BUILDER training
  • Provide desk-side and customer support to Facility Management and medical logistics personnel
  • Participate in Facility Management Team meetings as required
  • Travel to remote supported locations as necessary

Reporting & Deliverables
  • Submit monthly progress and performance reports as required
  • Provide trip reports within five business days following site visits
  • Participate in quality control processes in accordance with the contract Quality Control Plan


Qualifications

Skills/Qualifications: The ideal candidate possesses expertise and experience in project management, especially within infrastructure and environmental services. Key qualifications include:
  • Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent verbal and written communication skills
  • Exceptional attention to detail and organizational skills
  • Ability to interpret data, identify discrepancies, and recommend corrective actions
  • Customer service oriented with ability to work in a results-driven environment
  • Ability to coordinate across multiple stakeholders (Facility Management, O&M, Environmental Services, DHA personnel)
  • Ability to read and interpret technical drawings and facility documentation

Preferred Qualifications:
  • DMLSS/LogiCole FM experience (training provided if needed)
  • Two (2) years of database management experience preferred
  • Working knowledge of medical facility management or healthcare facilities operations
  • Experience supporting DoD or DHA programs

Education: Level I (Minimum Requirement):
  • High School Diploma required

Preferred:
  • Associate's or Bachelor's degree in Facilities Management, Business Administration, Information Systems, Construction Management, or related field
  • Experience may be substituted for formal education

Location: This position is on-site at a designated Military Treatment Facility (MTF) within the Continental United States. Telework is not authorized for this position.

Clearance Requirements:
  • Must be a U.S. Citizen
  • Must be able to obtain and maintain a favorable National Agency Check with Inquiries (NACI) (Tier 1) investigation
  • Must be eligible to obtain and maintain a Common Access Card (CAC)
  • Must comply with all installation access and security requirements


Physical Requirements: In addition to the skills and qualifications mentioned above, candidates must, at a minimum, be able to meet the following physical requirements.
  • Sit for extended periods while working at a computer
  • Perform repetitive hand and finger movements
  • Walk short distances within medical facilities
  • Occasionally lift up to 25 pounds
  • Maintain focus on detailed data entry and system review tasks
  • Work in a low-noise office environment within a healthcare facility

The Nakupuna Companies use a market-based compensation strategy to ensure that our employees are compensated within applicable market ranges commensurate with multiple factors, including but not limited to the individual's particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability, organizational requirements, and position location. The projected compensation range for this position is $52,000.00 to $65,000.00 (annualized USD). The salary range displayed represents the typical salary range for this position and is just one component of Nakupuna Companies total compensation package for employees.
