Job Description

A lead integrator between the events team and communications specialists plays a key role in ensuring seamless coordination and alignment between the two teams and across the Strategic Communications organization and AFWERX, ensuring that teams collaborate efficiently toward shared organizational goals. The primary focus is to integrate the strategic planning and execution of programs with the tactical execution of events.

  • Ensure clear, open, and continuous communication between the events team and strategic communications strategists, facilitating smooth information flow between both groups and across the strategic communications team.
  • Leads regular coordination meetings to track progress, discuss challenges, and share updates between both teams.
  • Ensure each team understands their responsibilities in relation to the other team's goals, fostering alignment and minimizing misunderstandings.
  • Ensure the strategic communications strategists' broader strategic goals are reflected in the planning and execution of events. This may include ensuring the event's purpose, messaging, and activities are aligned with the program's objectives.
  • Works with strategic communications strategists to incorporate program milestones or goals into event timelines, ensuring the event supports program deliverables.
  • Guarantee that the messaging, branding, and objectives of the event are consistent with the program's overall goals.
  • Help coordinate timelines with the program's key dates, such as product launches, major updates, or other critical program milestones.
  • Monitor progress on both sides to ensure that deadlines for program tasks and event deliverables are met. Adjust plans as needed to keep both teams on track.
  • Identify any overlapping deadlines or potential delays between the teams and proactively manage these issues to avoid conflicts or gaps in execution.
  • Proactively identify potential issues in integrating the program and event efforts, such as resource allocation or scheduling conflicts, and implement solutions that allow both teams to stay on track.
  • Ensure the events team has the necessary support from the strategic communications strategists to deliver on key elements of the program through the event.
  • After each event, support the facilitation of collecting feedback and performance data to evaluate how well the event supported the program's goals, suggesting improvements for future collaborations.
  • Provide strategic communications strategists with relevant data or insights from events that can help refine or improve future program strategies and initiatives.
  • Ensure that all internal and external stakeholders, including senior leaders, are informed about event progress, how events align with program goals, and any major developments or challenges.


Qualifications

  • Active DoW Secret Clearance or above.
  • Bachelor's degree in event management, business administration, project management, hospitality management, marketing or communications or related field.
  • Preference Master's degree in, business administration (MBA), organizational management, strategic management or advanced event management.
  • 8+ years of experience in event management, program management, or integration roles.
  • Experience working with cross-functional teams and coordinating multiple moving parts.
  • Proven track record of leading complex events, such as conferences, trade shows, corporate meetings, or large-scale programs.
  • Experience as a Program Manager or Project Manager in complex, multi-phase initiatives.
  • Demonstrated ability to work under pressure and handle multiple responsibilities concurrently.
  • Familiarity with the full event lifecycle (from planning to execution and post-event analysis).
  • Ability to work autonomously in a highly dispersed organization.
