Pay Range
$38.03 - $45.63 Hourly at the 440.4 level

Job Description
The Training Center Coordinator performs a full range of complex and difficult administrative and task-oriented administrative assignments with minimal supervision in a dynamic, fast-paced environment with frequent interruptions and conflicting priorities. This position provides comprehensive administrative and onsite operational support for division-provided classes and courses, ensuring effective coordination, execution, and day-of support for training activities. The Training Center Coordinator also supports division-wide operations as assigned, serving as a key administrative resource to management and internal partners while exercising discretion, sound judgment, and a high level of customer service.

Job Description

This position provides comprehensive administrative and onsite operational support for division-provided classes and courses, ensuring effective coordination, execution, and day-of support for training activities. The Training Center Coordinator also supports division-wide operations as assigned, serving as a key administrative resource to management and internal partners while exercising discretion, sound judgment, and a high level of customer service.
In this role you will:
- Provide onsite operational and administrative support for division-provided classes and courses, ensuring smooth day-of execution. This includes serving as the primary onsite point of contact for internal team; addressing real-time issues; coordinating room readiness; and ensuring training activities proceed without disruption.
- Assist with coordinating all administrative details and scheduling for Laboratory Training Center classrooms and facilities, including identifying user needs; providing contract support and services; serving as point of contact for usage agreements, vendors, and LLNL users; monitoring helpdesk phones and independently providing appropriate support; providing basic computer classroom setup assistance in conjunction with technical support staff; classroom setup and takedown (including moving furniture); arranging site access and preparing badge requests; monitoring class enrollments; administering evaluations; and following up with attendees and requesters.
- Screen telephone calls; independently respond to inquiries; make appropriate referrals; follow through on requests.
- Independently schedule appointments and maintain calendars for training activities and related operational needs.
- Coordinate, select, and compile data from multiple sources for complex reports and presentations.
- Coordinate activities with multiple components, such as verification of security clearances, agenda preparation, badging, and information dissemination. Solve problems that are diverse and multi-faceted.
- Interpret policies and procedures, formulate recommendations, and establish procedures for the functional work unit with moderate authority.
- Gather information from multiple sources; compile data; and prepare complex reports and presentations related to training, utilization, and operational metrics.
- Represent management in daily matters to gather, clarify and disseminate information; respond on their behalf on administrative matters to all levels of management, both internal and external to the Laboratory.
- Generate correspondence on own initiative and compose correspondence for management signature which may be sensitive in nature.
- Perform division-wide operational and administrative duties as assigned, supporting overall mission needs beyond training activities, including special projects, process improvements, and cross-functional coordination.
- Perform other duties as assigned.
Qualifications
- Specialized and advanced knowledge of HR policies and procedures as well as office procedures, techniques, and methods.
- Excellent organizational skills to manage and complete complex projects.
- Experience working independently under time constraints to meet critical deadlines.
- Exceptional customer service skills to maintain effective working relationships with employees, coworkers, clients, and Laboratory service units.
- Excellent interpersonal communication and presentation skills, mature judgment, tact, and discretion.
- Advanced level decision making. Independently solves problems of broad scope and complexity. Develops and implements new techniques and procedures.
- Demonstrated ability to be self-motivated and flexible, exercising discretion and mature judgment in handling business sensitive and/or classified information, as well as personnel interactions.
