Position Summary:
KBR, Inc. is seeking a motivated and detail-oriented Action Officer/Assistant to provide direct support to the Senior Portfolio Manager across a wide range of program and portfolio management activities. This role is ideal for a mid- to junior-level professional who understands the fundamentals of defense contracting and project management and is eager to grow under mentorship.
The Action Officer will serve as a critical enabler for day-to-day operations, ensuring smooth coordination, timely execution of tasks, and high-quality communication across the portfolio. This position requires strong organizational skills, proactive problem-solving, and the ability to operate in a fast-paced defense environment.
Key Responsibilities:
1. Portfolio & Program Support
a. Assist with portfolio-level tracking, reporting, and documentation across multiple task orders and workstreams.
b. Support development and maintenance of program schedules, action trackers, risk logs, and deliverable matrices.
c. Help prepare inputs for monthly, quarterly, and ad-hoc program reviews.
2. Administrative & Operational Support
a. Manage email traffic, taskers, and calendar coordination for the Senior Portfolio Manager.
b. Draft, route, and track internal and external correspondence.
c. Coordinate meetings, prepare agendas, capture meeting minutes, and track action items.
3. Security & Contracting Support
a. Assist with DD254 processing, updates, and coordination with security teams.
b. Support contract documentation, data calls, and compliance activities.
c. Maintain awareness of contract requirements, deliverables, and reporting timelines.
4. Communications & Deliverables
a. Develop high-quality slides, briefings, and reports for leadership and customer engagements.
b. Push out required training notifications, compliance reminders, and portfolio-wide communications.
c. Maintain shared repositories, document libraries, and version control.
5. Team Coordination
a. Support onboarding activities for new team members.
b. Help drive consistency and standardization across the portfolio.

- Location: On-site (Dayton, OH)
- Travel Requirements: None
- Working Hours: Standard - Core hours 0800 - 1500
Qualifications
Required:
- 2-5 years of experience supporting DoD, defense contracting, or government programs.
- Familiarity with project management principles (e.g., scheduling, risk, reporting).
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams).
- Ability to manage multiple priorities with attention to detail.
- Active Secret clearance or ability to obtain one. (I'm flexible on this)
Desired:
- Experience with DD254 processes or security documentation.
- Exposure to contract management, task order execution, or PMO environments.
- Interest in professional development and willingness to grow into increased responsibility.
