Overview

Serve as the primary, trusted Executive Assistant supporting the Chief Executive Officer, acting as a strategic partner who enables the CEO to operate at maximum effectiveness. While this role provides direct day-to-day support to the CEO, it reports directly to the Chief of Staff, who oversees priorities, scope of work, performance management, and overall alignment. This structure ensures clarity of direction, consistency of execution, and seamless coordination across leadership.

This role requires exceptional discretion, judgment, and executive presence, along with the ability to anticipate needs, manage complex and confidential priorities, and ensure smooth daily operations. The Executive Assistant serves as a key liaison on behalf of the CEO across a broad range of internal and external stakeholders, facilitating efficient decision-making, clear communication, and organizational alignment.

Job Duties and Responsibilities:

Key Responsibilities
  • Act as the principal administrative and operational partner to the CEO, proactively managing priorities, schedules, and executive workflows to ensure optimal use of time and focus.
  • Manage the CEO's complex and dynamic calendar, including prioritizing sensitive matters, resolving scheduling conflicts, and coordinating across a range of internal and external stakeholders to support efficient execution and alignment.
  • Serve as a trusted gatekeeper and point of contact for the CEO, exercising sound judgment in handling communications, inquiries, and requests.
  • Prepare, review, and edit executive correspondence, presentations, reports, and briefing materials on behalf of the CEO, partnering with the Chief of Staff as needed to ensure accuracy, consistency, and strategic alignment.
  • Coordinate and support CEO-level meetings and engagements by managing logistics, agendas, materials, and follow-up actions, including tracking action items and ensuring timely closure.
  • Prepare, reconcile, and submit expense reports accurately and in a timely manner; within policy.
  • Plan and coordinate executive-level travel arrangements, itineraries, and related logistics, ensuring seamless execution, appropriate prioritization, and the ability to respond quickly and effectively to last-minute changes or evolving needs. Demonstrate flexibility and composure while adjusting plans in real time to accommodate the CEO's dynamic schedule.
  • Provide informal leadership and guidance to other Executive Assistants as needed, supporting operating rhythms, coverage coordination, and best practices during high-demand periods (e.g., board weeks, offsites, executive travel).
  • Plan and support executive-level internal and external events, including leadership offsites, conferences, and stakeholder engagements.
  • Proactively support the CEO's preparation for external speaking engagements and high-visibility events through advance forecasting, planning, and briefing coordination. Anticipate and manage all required materials, deadlines, submission processes, and conference communications to ensure seamless execution. Maintain alignment with leadership priorities and organizational strategy while positioning the CEO for successful delivery and engagement.
  • Maintain the highest level of confidentiality, professionalism, and discretion when handling sensitive executive, organizational, and personnel matters.
  • Leverage technology, including AI tools where appropriate, to improve efficiency, organization, and executive workflow.
  • Perform a broad range of high-level administrative and operational responsibilities with excellence, while bringing an entrepreneurial mindset to continuously improve systems, anticipate needs, and elevate the effectiveness of the CEO's office.
  • Exercise initiative and sound judgment in advancing ideas and solutions, operating within a clear reporting structure and maintaining alignment with executive priorities and strategic direction.
  • Other duties as assigned in support of the CEO and executive operations.


Job Requirements (Education/Skills/Experience):

Qualifications
  • 15+ years of experience providing high-level executive administrative support, with direct experience supporting a CEO or equivalent senior executive strongly preferred.
  • 2+ years of experience supporting executives within a government contracting or federal sector environment preferred.
  • Bachelor's degree from an accredited college or university preferred; equivalent professional experience will be considered.
  • Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
  • Exceptional organizational, written, and verbal communication skills.
  • Strong interpersonal skills with demonstrated executive presence, discretion, and adaptability.
  • Proven ability to prioritize, multitask, and manage competing deadlines in a fast-paced, high-visibility environment.
  • Demonstrated problem-solving skills and sound judgment, particularly in complex scheduling and coordination scenarios.
  • Ability to operate with a high degree of independence and discretion while maintaining disciplined alignment with defined reporting structures, executive decision rights, and organizational hierarchy.
  • Prior supervisory or leadership experience is a plus.
  • Familiarity with integrating AI tools and emerging technologies to enhance productivity and workflow efficiency.
  • Onsite support required at least 75% of the time.
  • Availability for after-hours support as needed.
  • Ability to travel occasionally (estimated 15% or less).
  • Must be able to pass a standard background check.
