Key Responsibilities
- Manage complex executive calendars, including scheduling meetings, coordinating across multiple stakeholders, and resolving conflicts to ensure optimal use of time.
- Draft, edit, and proofread professional correspondence, reports, presentations, and other documents
- Organize JANUS hosted events and meetings, manage service contracts, venue support, and internal coordination for IT, document preparation and printing.
- Coordinate meetings, prepare agendas, take meeting minutes, and track follow-up action items
- Handle confidential information with the highest level of discretion and professionalism
- Prioritize and manage multiple tasks simultaneously while meeting deadlines in a fast-paced environment
- Support executive projects by tracking timelines, deliverables, and next steps
- Organize joint travel, coordinate travel arrangements, file travel expense reports, and other administrative needs as required.
- Maintain organized digital filing systems
- Anticipate executive needs and proactively address potential issues before they arise
- Manage the Evans, GA office to include coordinating maintenance, office furniture, supplies, food and drinks, perform inventories (excluding individual IT equipment), and service contracts.
- Complete various HR tasks, as needed.
- Other administrative tasks as deemed necessary.
Qualifications & Skills
- Proven experience as an Executive Administrative Assistant, Executive Assistant, or similar role supporting senior leadership
- Advanced organizational and time-management skills, with the ability to prioritize tasks and manage shifting deadlines
- Excellent written and verbal communication skills, including experience drafting communications on behalf of executives
- Strong attention to detail and accuracy
- High level of discretion and professionalism when handling confidential and sensitive information
- Proficiency in Microsoft Office, and other productivity tools
- Ability to work independently while also collaborating effectively with internal teams
- Strong problem-solving skills and sound judgment
Preferred Qualifications
- Experience supporting C-suite or senior executives
- Project coordination or operations support experience
- Familiarity with calendar management tools, or project management software
Work Environment & Expectations
- This position is full-time in the Evans, GA office.
- Requires flexibility, adaptability, and professionalism
- May require occasional after-hours availability to support executive needs, meetings, and events.
