The Principal Support Administrator provides comprehensive, high-level administrative support to assigned offices and leadership. This role ensures efficient daily operations through expert coordination, communication, and administrative management. Key Responsibilities
Administrative & Office Operations
- Provide comprehensive administrative support to leadership and assigned work units to ensure smooth office operations.
- Manage complex calendars, schedules, and appointments, including coordination across multiple stakeholders and organizational levels.
- Coordinate travel arrangements, including itineraries, logistics, and supporting documentation.
- Handle incoming and outgoing correspondence, including emails, phone calls, and official communications.
- Prepare, edit, and format professional documents, including memoranda, reports, presentations, and briefing materials.
- Maintain office files, records, and document management systems in accordance with organizational requirements.
- Order and manage office supplies and support general office administrative functions.
Meeting & Event Coordination
- Plan, schedule, and execute meetings, conferences, and off-site events.
- Prepare meeting agendas, coordinate logistics, and distribute materials.
- Attend meetings as a recorder or working group member; capture and distribute meeting minutes and action items.
- Provide administrative briefings and represent the work unit at meetings, forums, and organizational events as required.
Program & Budget Support
- Gather and track budget requirements, spending plans, and expense reports for projects, programs, or business areas.
- Monitor financial data related to administrative or program activities and ensure proper documentation.
- Research, retrieve, and compile data from various systems and databases.
- Analyze administrative metrics and develop reports to evaluate process and program effectiveness.
Customer Service & Coordination
- Greet, assist, and escort office visitors and guests in accordance with security protocols.
- Coordinate and track administrative processes through completion, ensuring timely follow-up and resolution.
- Provide direct administrative support to team members, managers, and leadership.
- Handle confidential, sensitive, and classified information with professionalism and discretion.
Additional Responsibilities
- Support program coordination and administrative initiatives.
- Assist with process improvements and administrative workflow optimization.
- Perform other duties as assigned in support of mission requirements.
Requirements
- Active Top Secret / SCI clearance with Lifestyle Polygraph (required).
- Minimum of five (5) years of experience providing administrative support in a professional office environment.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills, with the ability to interact professionally with leadership, staff, and external stakeholders.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Demonstrated ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines in a fast-paced environment.
- Strong interpersonal skills and the ability to work both independently and collaboratively within a team.
- Proven ability to handle sensitive and confidential information with discretion and professionalism.
Education:
- High School Diploma or GED required. Associate degree in business administration or a related field preferred.
