Overview
The Administrative Analyst Safety Coordinator plays a critical role in supporting executive leadership and laboratory management by coordinating office and safety services to ensure the efficient functioning of personnel, facilities, housekeeping, records control, and other operational areas. This position also contributes to strategic organizational improvements by studying management methods and implementing solutions to streamline workflows, simplify reporting procedures, and reduce costs.

This position also contributes to strategic organizational improvements by studying management methods and implementing solutions to streamline workflows, simplify reporting procedures, and reduce costs.

Responsibilities
- Analyzes unit-operating practices, such as record keeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to create new systems or revise established procedures.
- Analyzes jobs to delimit position responsibilities for use in wage and salary adjustments, promotions, and evaluation of workflow.
- Studies methods of improving work measurements or performance standards.
- Coordinates collection and preparation of operating reports, such as terminations, new hires, transfers, budget expenditures, and statistical records of performance data.
- Prepare reports including conclusions and recommendations for solutions to administrative problems.
- Issues and interprets operating policies.
- Reviews and answers correspondence.
- May assist in preparation of budget needs and annual reports of organization.
- May interview job applicants and conduct orientation of new employees.
- May direct services such as maintenance, repair, supplies, mail, and files. May compile, store, and retrieve management data, using computer.
- Tracks facility related issues and report them to the facility contractor.
- Plans monthly safety meetings.
- Presents monthly contract safety update at the monthly review.
- Presents quarterly contract safety update during the NASA Safety Management Review.
- Oversee the safety program to insure all VPP elements/goals are met.
- Writes and submits the OHSA annual self-evaluation.
- Sets annual safety goals and oversees program to accomplish these goals.
- Reviews all company procedures for safety.
- Reports close calls in NMIS.
- Reports monthly safety hours in NMIS and the DR system.
- Maintains/updates annually or as needed all safety plans and procedures.
- Assist employees with payroll and benefit questions/issues.
- Serves as company POC for NASA Public Affairs.
- Tracks and schedules for employee training and certifications.
- Tracks and schedules for employee physicals.
- Plan employee morale events (luncheons, awards).
- Serves on the SSC "Critical Incident Stress Management Team".
- Provide other assistance as necessary to the Program Manager.
- Serves as auditor for onsite audits.
- Special Government Employee - VPP Off-site Auditor.
- Serves on the SSC Diversity Committee.
- Serves on the LA/MS Area VPP Council.
- Serves on VPP Working Group committee.
- Attends the SSC Certification board meetings.
- Attends the SSC IH/Ergo committee.
- Serve on the G.E.M.S. committee.
- Serves on Take Our Children to Work Day committee.
- Exhibit booth for Capital Day.
- Serves on SSC committee for open house.
- Serves on Gala committee.
- Plans meetings groups including MCWG, Partners for Stennis and Cal Manager Training.
- Backup for the Environmental Working Group meetings.
- Backup for the Ergo/Industrial Hygiene meetings.
- Other duties as assigned.
Qualifications
- Five (5) years direct experience in management, administration or finance.
- Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.
Minimum Skills:
- Exceptional interpersonal skills with the ability to communicate in a clear, professional, and articulate manner.
- Exceptional verbal and written communication skills.
- Excellent organizational, analytical, and problem-solving skills with high-level attention to detail.
- Proven ability to multitask and prioritize in a fast past environment with changing priorities; adaptable to change and a quick learner.
- Must be self-motivated and able to work well independently as well as on a multi-functional team.
- Ability to handle sensitive and confidential information appropriately.
- Proficient in MS Office, Word, Outlook, PowerPoint, and Excel.
Preferred Qualifications:
- Bachelor's degree in management, administration or finance.
- Three (3) years direct experience.
