We are seeking an HR Operations & Program Support Coordinator to serve as the local extension of Corporate HR and provide embedded operational and administrative support to the PHNSY program team.

Key Responsibilities:
  • Process and track system account requests accurately and in accordance with established procedures.
  • Coordinate onboarding logistics for new hires, including badging, system access, workspace setup, and orientation scheduling.
  • Track mandatory training completion and compliance requirements for site personnel.
  • Maintain and update compliance-related data to support IMS and CMMI requirements.
  • Enter and maintain HR and compliance data in designated systems and trackers.
  • Assist with Vendor Approval System (VAS) and Monthly Status Reports (MSRs) as required.
  • Serve as a backup reviewer for Costpoint, ensuring accuracy and compliance with company policies.
  • Oversee all administrative tracking systems and processes.
  • Assist in preparation of monthly program reports to HQ.
  • Provide local recruiting coordination, including interview scheduling and candidate communications.
  • Serve as a liaison with local staffing agencies as needed.
  • Provide administrative support to the Program Manager and Deputy Program Manager, including calendar management, meeting coordination, and document preparation.
  • Coordinate meetings, prepare agendas and materials, and capture notes as requested.


This is a full time, salaried, exempt position. Hybrid work location may be authorized.

Qualifications:
  • Bachelor's degree preferred.
  • 5+ years of administrative, operations, or coordination experience, preferably in DoD or government contracting environments.
  • Strong proficiency in Microsoft Excel and Microsoft Office (pivot tables, formulas, charts; macros not required).
  • Ability to understand and edit technical documents with precision.
  • Strong written and verbal communication skills.
  • Detail-oriented with the ability to manage multiple priorities and deadlines.
  • Self-directed, forward leaning, and comfortable working independently.
  • Experience supporting senior leaders or program leadership preferred.
  • Active security clearance required.
