Job Responsibilities
Trace Systems is actively recruiting for a Marketing & Business Development Administrator to join our team based in Tampa, FL. (100% On-site). The Marketing & Business Development Administrator will be responsible for developing brand-consistent visuals that drive engagement, support product and services awareness, and enhance our digital presence to include supporting the team by translating complex information into clear, visually compelling assets across various digital platforms. Additionally, consistent coordination, opportunity tracking, capture activities, proposal development, and compliance documentation. This role provides exposure to the full marketing and business development lifecycle, with career progression opportunities.

The Marketing & Business Development Administrator will be responsible for developing brand-consistent visuals that drive engagement, support product and services awareness, and enhance our digital presence to include supporting the team by translating complex information into clear, visually compelling assets across various digital platforms. Additionally, consistent coordination, opportunity tracking, capture activities, proposal development, and compliance documentation. This role provides exposure to the full marketing and business development lifecycle, with career progression opportunities.
Duties to include:
- Design, develop, and publish visual content tailored for social media (LinkedIn, X/Twitter, Instagram, Facebook, etc.) with a focus on corporate branding and tone.
- Collaborate with marketing, product, and technical teams to create infographics, animations, and other visual content that explain technical concepts clearly and concisely.
- Translate technical documentation into digestible and engaging visuals for a non-technical audience.
- Maintain and evolve brand design guidelines across all social platforms.
- Stay updated on social media trends, tools, and design best practices to drive innovation and engagement.
- Monitor and maintain the BD pipeline in Salesforce with real-time updates, ensuring accuracy of opportunity status, capture milestones, and assigned resources.
- Conduct preliminary market research using GovWin, SAM.gov, etc., to identify, vet, and prioritize opportunities aligned with company capabilities and contract vehicles.
- Track government procurement schedules, solicitations, amendments, and deadlines.
- Organize BD and Capture meeting schedules, prepare briefing packages, and coordinate internal/external communications.
- Support creation of compliance matrices, outlines, and formatting for RFIs, RFQs, and RFPs.
- Maintain past performance library, resumes, technical write-ups, etc.
Minimum Qualifications
- Due to the nature of the work and contract requirements, US Citizenship is required
- Proficiency in Adobe Creative Suite (Photoshop, Illustrator, InDesign), Canva, Figma, or similar design tools.
- Exceptional knowledge of internet platform editing tools (e.g., LinkedIn, Instagram, X, Substack).
- Strong written and verbal communication skills.
- Ability to manage multiple projects and meet tight deadlines in a fast-paced environment.
- Ability to work well in a team environment and engage with colleagues in a professional setting.

- Abstract Thinking & Synthesis: Ability to comprehend complex or technical subject matter, identify key themes, and clearly translate concepts into straightforward, accessible language.
