About the Role:
The Administrative Support Specialist plays a role in ensuring the smooth and efficient operation of our professional services team. This position is responsible for managing a variety of administrative tasks that support project coordination, client communications, and internal team functions. The specialist will serve as a key point of contact for scheduling, document preparation, and data management, contributing to the overall productivity and effectiveness of the department. By maintaining organized records and facilitating communication across multiple stakeholders, this role directly impacts the quality and timeliness of service delivery.

Responsibilities:
- Manage and coordinate calendars, meetings, and appointments using Microsoft Outlook to optimize team schedules.
- Prepare, format, and edit presentations and reports using Microsoft PowerPoint and Microsoft Excel to support project proposals and client meetings.
- Maintain accurate and organized records, including filing, data entry, and document management to ensure easy retrieval and compliance.
- Serve as a liaison between internal teams and external clients or vendors, facilitating clear and timely communication.
- Assist with travel arrangements, expense reporting, and other logistical tasks to support team members and project needs.
- Perform general office tasks and other duties as assigned.
Minimum Qualifications:
- Associate's Degree or equivalent experience.
- 0-3 years of experience providing administrative support.
- Proficiency in Microsoft Outlook, PowerPoint, and Excel with the ability to create and manage complex schedules and documents.
- Strong organizational skills with attention to detail and the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills to interact effectively with diverse stakeholders.
Preferred Qualifications:
- Experience with project management software or customer relationship management (CRM) tools.
- Familiarity with data analysis and reporting techniques to support decision-making processes.
- Prior experience working in a professional, scientific, or technical services industry.
- Certification in administrative support or office technology (e.g., Microsoft Office Specialist).
