Overview

SOS International LLC is seeking an Operations Coordinator to join our team remotely. The role of an Operations Coordinator is crucial in ensuring the seamless functioning of an organization's operations. This position involves a blend of administrative, managerial, and strategic responsibilities aimed at optimizing operational efficiency and effectiveness. An Operations Coordinator serves as a vital link between various departments, ensuring that processes are streamlined and that the organization's goals are achieved.

Essential Job Duties

  • Provide comprehensive administrative support to the operations team, including scheduling meetings, managing correspondence, and maintaining records.
  • Coordinate and organize office activities, events, and logistics to ensure smooth day-to-day operations.
  • Assist in the preparation and distribution of reports, presentations, and other documents as needed.
  • Monitor and evaluate operational processes to identify areas for improvement and implement effective solutions.
  • Coordinate with various departments to ensure that operational procedures are followed and that any issues are promptly addressed.
  • Develop and maintain standard operating procedures (SOPs) to ensure consistency and efficiency in operations.
  • Assist in the planning, execution, and monitoring of operational projects, ensuring that timelines and objectives are met.
  • Coordinate project activities, including resource allocation, task assignment, and progress tracking.
  • Communicate project status and updates to stakeholders, ensuring transparency and alignment with organizational goals.
  • Collect, analyze, and interpret operational data to identify trends, patterns, and areas for improvement.
  • Prepare and present data-driven reports to support decision-making and strategic planning.
  • Maintain accurate and up-to-date records of operational activities and performance metrics.
  • Act as a point of contact for internal and external customers, addressing inquiries and resolving issues in a timely and professional manner.
  • Ensure that customer needs and expectations are met by coordinating with relevant departments and stakeholders.
  • Implement and maintain customer service standards to enhance the overall customer experience.
  • Monitor and manage inventory levels, ensuring that supplies and resources are available as needed.
  • Coordinate with suppliers and vendors to ensure timely delivery of goods and services.

Implement inventory control measures to minimize waste and optimize resource utilization.

Qualifications

Minimum Requirements

  • Bachelor's degree in Business Administration, Operations Management, or a related field; OR equivalent experience.
  • Minimum two years of experience in an operational or administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Familiarity with data analysis tools and techniques.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders.
  • Problem-solving and critical-thinking abilities, with a proactive approach to identifying and addressing issues.
  • Attention to detail and a commitment to accuracy and quality in all tasks.
  • Flexibility and adaptability to changing priorities and demands.


Preferred Qualifications

  • Relevant certifications or training in operations management or project management are advantageous.
  • Experience in project management and process improvement is highly desirable.
  • Knowledge of ERP (Enterprise Resource Planning) systems is a plus.
