Program Operations Specialist

Xcelerate Solutions is seeking a Case Processing Specialist who is responsible for the secure intake, processing, documentation, and delivery of customer case files. You will support a large national background investigations (BI) program that provides investigative products and services to departments and agencies of the federal government. Focused on our Nation's security, BIs are required to determine an individual's suitability for employment with the federal government, eligibility for access to classified information, assignment to or retention in positions with sensitive duties, or other designated duties requiring such investigations. Responsibilities:
  • Receive daily case receipts from customers via secure SFTP
  • Ensure all received cases are entered and processed
  • Upload and enter cases using XML schema uploads, PDF files, or manual entry as required
  • Utilize CMT or similar case management systems for processing and tracking
  • Conduct credit checks through the Verato platform
  • Process same-day Credit-Only requests, including credit bureau report delivery
  • Maintain operational continuity by utilizing backup Verato accounts when necessary
  • Create and maintain accurate intake case notes
  • Scan, upload, and electronically store case documentation
  • Manage physical records securely until digitized and approved for destruction
  • Support compliant shredding processes (in-house or vendor-managed)
  • Perform fingerprint scanning
  • Upload and securely store fingerprint records
  • Support daily case delivery requirements
  • Create and maintain case delivery manifests including case number, name, type, date, and delivery status
  • Generate separate manifests for completed and cancelled cases
  • Create Credentials

Minimum Requirements :
  • Must be TS eligible
  • Experience in case processing, background investigations, or administrative operations preferred.
  • Familiarity with secure systems, SFTP, and document management
  • High attention to detail and ability to meet strict daily deadlines
  • Ability to handle sensitive personal and credit-related data
