The Prospective Group (TPG) is seeking an Office Management Specialist / Management Analyst III to support the Department of State.
Position Responsibilities:
I. Direct Support to the Chief of Staff
- Manage the CoS's calendar, schedule appointments, coordinate meetings, and handle correspondence related to meeting logistics.
- Coordinate, prepare, and/or support the CoS's briefings, ceremonies, conferences, presentations, public remarks, speaking engagements, and other official duties.
- Coordinate the CoS's participation in intra-State and interagency meetings.
- Lead scheduling efforts related to meetings or initiatives with cross-cutting office equities.
- Coordinate internally to ensure the CoS is prepared for travel and upcoming engagements, including by tracking support material and scheduling pre-briefs.
- Coordinate all CoS's and Special Assistant Travel overseas. Submit travel vouchers on time.
II. Communication
- Serve as connective tissue within the office and facilitate internal communication flow as an intermediary between action officers and the OD. Ensure staff have visibility on the significant events and meetings related to the CoS. Break down internal silos; support collaboration and awareness between Front Office (FO) teams, especially the Management; Strategy; and BCDO divisions.
- Track and share CoS's position on significant issues. Be prepared to emphasize the CoS's priorities to ensure Action Officers understand what the CoS is tracking.
III. Paper and Taskers
- Coordinate taskers that cross multiple teams, such as Question for Records (QFRs) and FO engagements.
- Maintain the office's onboarding, orientation, standard operating procedures, and training material. Update those documents as necessary.
IV. Human Resources (HR)
- Track and backwards plan evaluation rating timelines to ensure CoS has adequate time to address.
- Schedule onboarding interviews and exit interviews for the CoS.
V. Other
- Conduct research, complete analysis/reports, and coordinate special projects as tasked by the Chief of Staff.
- Identify office processes that can be improved and work with relevant officers to implement agreed-upon changes.
Position Requirements:
- At least seven years of experience in management, executive assistance, administrative support, or program support and planning work (preferably with Department of State) OR a combination of experience and education as follows: five years of experience plus an undergraduate degree in business administration, international relations, financial management, accounting, human resource management, or related fields
- Proficiency in a wide range of qualitative and quantitative methodologies for the assessment and improvement of program effectiveness or the improvement of complex management processes.
- Ability to coordinate priorities, commitments, and multiple viewpoints to create productive results. Ability to persuasively make accurate and evidentially backed recommendations to change procedures, methods, policies, and programs.
- Must be highly organized and have excellent oral & written communication skills. Ability to handle multiple tasks simultaneously. Ability to work independently.
- Must be able to use Microsoft Office programs including Outlook, Word, Excel, and PowerPoint.
- Must be able to quickly learn how to use proprietary applications and systems for processing administrative requirements such as travel, time and attendance, and procurement.
