Description
The Manager, Corporate & Proposal Operations Support serves as the Director's primary enablement partner-with delegated coordination authority-to operationalize execution readiness across corporate operations and bids/proposals. This role is the single front-door for execution readiness, ensuring that the operating system (cadence, tracking, documentation, workflow integration, and decision support) functions reliably as the organization scales across multiple business units/verticals. The Manager is director-enabled, manager-empowered: working under the Director's direction to manage the system, not the content, and enabling efficient, well-documented decision-making.
Core Role Outcomes
- Operational integration owner for administrative and workflow standardization across corporate operations and proposal readiness
- Single front-door for execution readiness: calendars, milestones, inputs, review cycles, and decision documentation are coordinated consistently
- Director-enabled, manager-empowered: anticipates friction points, drives follow-through, and escalates decisions at the right time
- Ensures leadership decisions are supported by clean documentation, traceability, and timely, complete inputs
Delegated Coordination Authority
- Coordinate and enforce scheduling, deadlines, and required inputs across stakeholders (as delegated by the Director)
- Convene and run logistics for recurring cadences (status syncs, reviews, readiness checks, closeout checklists)
- Route work, collect inputs, and ensure completeness and version integrity before items reach the Director for action/decision
- Escalate risks, gaps, conflicts, and slippage early with options and recommended next steps
Corporate Operations Readiness Support
- Maintain and continuously improve the corporate operations operating system: trackers, logs, dashboards, and administrative records
- Standardize file structures, version control, and documentation practices across functions and business units/verticals
- Prepare and organize documentation for audits, reviews, submissions, leadership reference, and governance needs
- Coordinate administrative inputs and reminders across corporate stakeholders to keep initiatives decision-ready
Bids & Proposals Execution Readiness Support
- Maintain proposal calendars, schedules, and milestone trackers; coordinate deadlines and review logistics
- Organize proposal files, templates, folders, permissions, and versioning to preserve traceability and accuracy
- Maintain compliance checklists and matrices as directed; ensure required elements are captured and decision-ready
- Coordinate administrative aspects of submission readiness (inputs, file assembly, validations, packaging, and delivery logistics)
Explicit Boundary: This role does not develop proposal content, own proposal strategy, control pricing, or serve as the proposal manager of record. All proposal content decisions, execution decisions, and approvals remain with the Director of Bids & Proposals.
Decision Enablement & Documentation
- Prepare decision packets (agenda, background, options, open items) for Director review
- Capture action items, decisions, owners, and due dates; maintain decision logs and traceability
- Produce clean, executive-ready documentation (briefs, meeting notes, trackers, and status summaries)
- Ensure decisions and follow-on tasks are well-documented and discoverable
Administrative & Executive Support
- Manage calendars, meetings, and scheduling across corporate operations and proposal activities
- Coordinate meeting logistics, agendas, materials, and follow-up documentation
- Prepare, format, proofread, and organize documents, reports, and presentations
- Maintain confidentiality and discretion in handling sensitive information

The Manager, Corporate & Proposal Operations Support is accountable for managing the operating system-coordination, integration, documentation, and readiness-not for owning operational execution or proposal content. This role does not include responsibility for strategy development, pricing authority, or final approvals. Priorities, execution decisions, and approvals remain with the Director of Corporate Operations and Director of Bids & Proposals.
