What you'll do

Viasat is seeking a highly motivated and detail-oriented Administrative Assistant to support our Government Business Development (BD) team. In this role, you'll be responsible for managing complex calendars, coordinating domestic and international travel, and preparing presentations and reports for senior leadership. The ideal candidate will have strong organizational and communication skills, a proactive attitude, and the ability to handle confidential information with discretion. You'll serve as a key point of contact for internal and external stakeholders, ensuring the smooth operation of the team and contributing to its success. This is a dynamic position that requires adaptability and a strong ability to multitask in a fast-paced environment.

The day-to-day

This Administrative Assistant role requires a high-energy individual who is dedicated, has a sense of urgency, and takes initiative.
  • Demonstrate teamwork skills, and ability to prioritize and organize as you provide administrative support and handle requests
  • Coordinate activities between departments, collaborate with other EA/AAs
  • Coordinate domestic and international travel planning, process visa applications
  • Process expense reports and train team on Concur web-based program
  • Manage calendars for senior leadership and business area
  • Manage distribution lists for business area and teams
  • IT troubleshooting for team members, conference rooms, buildings.
  • Planning and managing frequent onsite catering requests
  • Assist in planning and executing on and offsite business events
  • Order and stock office supplies and managing purchasing card account
  • Organize all-hands meetings, team-building activities, and support smaller team gatherings to foster a vibrant, inclusive team culture
  • Serve as liaison for facility issues and space planning, security tasks, new hire onboarding
  • Set-up web-based meetings and VTC's
  • Assist permanent and visiting personnel

What you'll need

  • 5+ years in a senior administrative role
  • Excellent oral/written communication skills
  • Demonstrated ability to handle ambiguity by openly communicating with teammates and the people you support, asking appropriate questions, to resolve the best way forward
  • Ability to successfully lead workload while addressing numerous interruptions and unforeseen events
  • History of working gracefully under pressure with little to no supervision
  • Excellent organization skills and initiative with the ability to effectively plan and prioritize, including the ability to concurrently run various fast paced tasks from multiple sources, maintaining composure and attention to detail
  • Outstanding interpersonal and customer service skills with the talent to interface effectively and courteously with personnel and external contacts from various cultures and at all levels
  • Ability to work in a dynamic environment independently and with a team across multiple locations and departments
  • Highly motivated with the skills and curiosity to learn quickly and independently
  • Experience working with sensitive information that requires a high level of discretion
  • Outstanding use of Microsoft Office Suite
  • US Government position. US citizenship required
  • Ability to travel up 25%
  • Role must be based in Tampa, FL

  • Current advanced use of SharePoint, Concur, Coupa, and web-based conference tools such as Zoom, Slack, Staffbase etc.
  • Bachelor's Degree or equivalent combination of education and experience

Salary range

$28.85 - $45.67 / hourly. For specific work locations within San Jose, the San Francisco Bay area and New York City metropolitan area, the base pay range for this role is $35.82 - $53.61/ hourly
