Provide administrative functions for the Corporate Operations department at Naval Facilities Engineering and Expeditionary Warfare Center (NAVFAC EXWC). These efforts directly relate to resource and administrative functions including screening of requests for information, providing authorized information from files and
records, advising on established policies and procedures, and assembling information and reports
for use within internal and external correspondence in support of command requirements.
Must have SECRET Clearance
The administrative specialist must be able to type 40 words per minute.

SPECIALIZED QUALIFICATIONS:
- Possess a minimum of one year of administrative support experience.
- Proficient in the use of office equipment, including computers, scanners, fax and copiers.
- Proficient in the use of Microsoft Office (Word/Excel/PowerPoint, Teams), Microsoft
- Edge, and Adobe Acrobat.
- Skilled with oral and written communications
- Possess well-developed time management and schedule coordination skills.
- The ability to work professionally with individuals, diverse groups, and the public.
GENERAL DESCRIPTION OF DUTIES:
- Research, collect, and integrate data and information in support of reports, presentations, and management decisions. Ensures that all data and information are properly formatted, accurate, and in compliance with external requirements.
- Prepare and track correspondence for signature by all levels of management and has authority to compose routine correspondence for signature.
- Ensure that personnel are advised of changing department and/or Command requirements and, when required, conduct training to ensure uniformity is maintained between technical offices.
- Maintain and revise office filing systems to meet subject area, program requirements, funding cycles and work planning cycles, and ensure files are maintained in accordance with and DoD, NAVFAC, and NAVFAC EXWC regulations and instructions.
- Collect program information from program technical and administrative specialists, enter the data in both manual and automated information systems, search and retrieve the information in support of program requirements, and provides information management support to personnel in the department.
- Edit technical reports, P-Pubs, guide specs, military handbooks, brochures/flyers, technical memoranda, site-specific reports, administrative documents, and special projects that vary in technical content from highly technical to non-technical.
- Edit and format Navy enlisted performance evaluations, officer fitness reports, award citations.
- Coordinate all technical editor, resource management, organizational analysis and administrative policy program standard operating procedures. Initiate revisions and examine resource distributions and requirements and resolve administrative issues.
- Produce and present reports and graphs. Develop meeting agendas, presentations, room reservations, and coordinate with technical experts as necessary.
- Process and track funding documents utilizing IT systems associated with processing of government purchase card transactions.
- Provide purchase card documentation support for supplies, and services under the micro-purchase threshold and the Simplified Acquisition Procurement (SAP) methods of payment.
- Draft and/or process incoming purchase requests, collaborate with Command personnel to define and clarify requirements.
