Responsibilities

- Maintain and coordinate Director's and Deputy Director's calendars and office schedules. Schedule appointments and arrange meetings, ensuring guests are cleared into the building and escorted as needed.
- Coordinate and enter time and attendance (TATEL) for assigned employees.
- Work with the EX office to order office supplies, maintain supply inventory, and any needed maintenance and repair of office equipment.
- Provide logistical support for meetings, conferences, and other events in the department and elsewhere, including virtual meetings.
- Arrange travel and assist office staff with travel planning, ensuring timeliness and accuracy. Ensure all travel is in accordance with the Federal Travel Regulation (FTR).
- Assist staff in coordinating the production of materials (e.g., written policy guidance, strategy, information and action memoranda, texts of speeches and articles, congressional testimony, talking points, and background information).
- Review outgoing materials and correspondence for internal consistency and conformance with organization templates.
- Assist with the preparation and proofreading of reports, presentations, and other office documents assigned by senior managers.
- Maintain electronic and paper files.
- Coordinate and compile submission to taskers for office and bureau leadership.
- Draft and, with government manager approval, coordinate arrangements for conferences and meetings and assemble established background materials, as directed.
- Attend meetings as note taker and report out on the proceedings.
- Perform basic Excel data processing and, as appropriate, work with staff members to prepare PowerPoint presentations and other presentations as necessary.
- Assist with the drafting, posting, and reviewing of requests for grant applications.
- Respond, in coordination with the appropriate Program Manager and Grants Officer, to questions from grant applicants.
- Assist with drafting and sending correspondence to grant applicants (invitations to submiapplications, unsuccessful letters, and successful letters).
- Assist with drafting and sending communications to grant technical evaluation panelists; ensure all documentation is in order prior to panel; serve as note-taker during grant panels.
- Assist with drafting and tracking award action memos.
- Upload documents and files in the MyGrants System and CT's Program and Knowledge Management System (PRISM)
- Assist with grants and Interagency Agreement (IAA) closeouts; serve as point of contact on reclassification process, including drafting documents, tracking and reporting on status, and advising team on process.
- Assist with drafting and clearing program documents (IAAs, grants, country implementation plans) and reviewing, analyzing, and socializing implementer reporting.
- As required, manage portfolio of 1-2 projects, under guidance and supervision of Deputy Director or Team Lead.
Qualifications
Skills/Qualifications:
- Excellent customer service and multi-tasking skills.
- Strong oral and written communications skills and tact when interfacing with other offices, individuals, and institutions.
- Intermediate knowledge of and experience with the Microsoft Office suite and ability to learn use of Department, bureau, or office databases as required.
- Familiarity with basic foreign policy, economic and development principles and international institutions is preferred.
- Familiarity with a variety of computer systems, including the E2 travel system, is preferred
