One Federal Solution (OFS) is seeking an Administrative Specialist to join our team in San Diego, CA. This role provides essential administrative and technical support to managers, supervisors, and leadership. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
Assist HR Manager, supervisors, and leadership with onboarding and offboarding civilian employees
Support preparation of budget reports and tracking personnel actions
Provide note-taking and administrative support for conferences and meetings
Prepare read-ahead materials and coordinate logistics for meetings and training events (space, technical support, supplies, transportation, etc.)
Issue and manage building badges, identification badges, and keys for assigned personnel
Track hiring selections and update agency task management systems or spreadsheets
Maintain accurate tracking of workload, facility assignments, student activities, and instructor assignments
Research and order office supplies and basic materials
Manage and organize correspondence for assigned components
Support vehicle officer in maintaining office vehicles and drive government vehicles as needed
Maintain and update travel and leave schedules for leadership
Answer phone messages and forward to appropriate parties
Update and submit briefing slides for release approval
Organize and schedule regular Teams meetings for leadership and staff
Track and manage BI inventory, including equipment and vehicles
Update recruitment calendars and external website postings
Format and update the Recruitment and Retention Plan as needed
Upload resumes from career fairs and email submissions into the applicant tracking system (volume: 5–300 resumes per event)
Draft and send communications to candidates and applicants
Coordinate with event planners for the Summer Intern Recognition Ceremony
Manage updates to the Director Awards webpage, create deliberation requirements, and order plaques/trophies
Collaborate with Public Affairs Office to plan the Director Awards Annual Ceremony
Schedule and support Executive Review Panels for senior-level vacancies
Review HCMO policies for grammatical accuracy before preparing for Director’s signature
Qualifications:
High school diploma or equivalent
Minimum of 2 years of relevant administrative and technical support experience
Active Secret Clearance
Strong oral and written communication skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Excellent organizational skills and ability to manage multiple tasks
High attention to detail and ability to handle confidential information
