Job Summary

Digital Cloak, LLC is seeking a multi talented candidate to provide direct administrative, security, capability, and preparedness support to the Security, Capability, and Preparedness (SCP) Team. This position serves as one of the primary points of contact for both internal and external stakeholders at Digital Cloak Headquarters.

The successful candidate will assist with the administration, organization, and coordination of SCP operations to ensure compliance with applicable federal, state, and local regulations, as well as Digital Cloak policies and procedures. The role requires experience handling a wide range of administrative, operational, and executive support tasks, along with the ability to work independently with minimal supervision.

This position supports the overall effectiveness, efficiency, security, and safety of Digital Cloak Headquarters, staff, clients, and visitors by organizing, coordinating, and performing moderately complex administrative and clerical duties in support of SCP policies, procedures, and site operations.

Essential Functions

Security

• Provide front desk and visitor reception coverage for Digital Cloak Headquarters to control facility access points
• Ensure reception, kitchen, and conference areas are well maintained and present a professional, secure environment
• Answer and route telephone calls and emails from vendors, clients, and internal staff to appropriate resources
• Monitor and manage office, kitchen, and security related supply inventories
• Provide general support and assistance to visitors
• Assist with the organization and scheduling of meetings and events
• Escort personnel, vendors, and visitors as required in accordance with established security procedures
• Maintain SCP reports, records, logs, and documentation
• Perform administrative duties to ensure the security, integrity, and confidentiality of data and information, including management of visitor logs, visit requests, and destruction of sensitive materials
• Assist with the development and delivery of security and compliance related education briefings
• Support new employee security indoctrinations and employee offboarding security debriefings
• Support annual Security Self Inspections, Security Vulnerability Assessments, and Continuous Monitoring activities
• Provide guidance to business units, staff, and clients on security and safety policies and procedures

Capability

• Assist with the development, documentation, and maintenance of SCP programs, policies, procedures, and supporting materials
• Coordinate with the Executive Personal Assistant in the planning and execution of corporate events
• Assist with moderately complex internal audits and compliance related activities
• Support the preparation of documentation and filings required for compliance with local, state, and federal rules, regulations, and laws
• Collect, collate, and analyze data from a variety of sources to support SCP manuals, policies, procedures, and forms
• Format, edit, and proofread documents to ensure accuracy, clarity, consistency, and adherence to established standards
• Participate in special projects and assignments as required

Preparedness

• Coordinate with building management, maintenance teams, and vendors to ensure office safety, cleanliness, and operational readiness
• Serve as the primary point of contact for maintenance, shipping, mailing, supplies, equipment, and associated billing
• Assist with the development, maintenance, testing, and execution of emergency action plans and OSHA related policies, procedures, and programs
• Provide guidance to staff on basic emergency management, contingency planning, and continuity of operations
• Develop, analyze, and evaluate existing or proposed emergency preparedness plans and procedures
• Support SCP related needs assessments and assist with the implementation of new programs or procedures

Required Knowledge, Skills, and Abilities

• Ability to work as a team player while exhibiting flexibility and strong organizational skills
• Ability to analyze moderately complex problems and develop effective, practical solutions
• Ability to manage multiple concurrent objectives, projects, or activities while making sound prioritization and time management decisions
• Excellent written and verbal communication skills with a strong customer service orientation
• Ability to collaborate effectively with staff, management, vendors, and clients in a fast paced environment
• Self starter with the ability to work independently with minimal supervision
• Proficiency with Microsoft Office Suite or equivalent productivity tools
• Working knowledge of office management systems, responsibilities, and administrative procedures
• Strong attention to detail, planning, and problem solving skills
• Ability to obtain and maintain an active Secret security clearance

Preferred Knowledge, Skills, and Abilities

• Experience developing and implementing Standard Operating Procedures and Emergency Action Plans
• Experience writing policies and procedures
• Experience preparing and managing budgets
• Four to six years of professional experience in administration, security, emergency management, or related fields
• Knowledge of applicable federal, state, and local laws and regulations, including guidance issued by DHS, FEMA, EPA, OSHA, and Homeland Security Presidential Directives related to emergency preparedness, infrastructure protection, and physical security

Required Education, Certifications, Licenses, and Related Experience

• Bachelor’s degree from an accredited institution in a related field, or four to six years of relevant professional experience in lieu of a degree
• Completion of DCSA Facility Security Officer training, or the ability to obtain certification within ninety days of hire

Physical Job Requirements

• Ability to remain in a stationary position, seated or standing, for more than half of the workday
• Ability to spend more than half of the workday viewing computer monitors

Travel Requirements

• Travel requirements of up to five percent
