The Administrative Assistant shall be responsible for administrative support to the OST/NNSA/DOE.

Responsibilities

  • Ensure that all locations receive all agency required documents for all services requested by the customer.
  • Maintain outgoing/incoming mail correspondence logs for all medical program related documents that are mailed, picked up, or faxed from the OST/NNSA/DOE Health Unit.
  • Ensure that all incoming telephone calls are appropriately routed.
  • Answer questions, provide information and place calls as necessary.
  • Administer and proctor computerized Psychological Tests.
  • Monitor and project number of tests needed to meet testing requirements per quarter.
  • Serve on committees: Medical Records Management and others as directed.
  • Escort personnel who do not hold security clearances.
  • Orient new Administrative Assistants to the requirements and services provided at the OST/NNSA/DOE Health Unit.
  • Maintain, track and manage all medical charts for all OST/NNSA/DOE employees post SOMD review.
  • Process completed physical examination results.
  • Maintain Record Management Plan for the Health Unit.
  • Prepares OST/NNSA/DOE Medical Records for archiving per NARA.

  • Maintain procedure manual for OST/NNSA/DOE Health Unit.
  • Assemble and electronically send physical examination packets for all physical examinations.
  • Provide documents and guidance as needed and as requested.
  • Schedule appointments for physical exams and psychological evaluations.
  • Reproduction of medical records as requested.
  • Review charts for completeness of exams performed and services provided at all sites:
  • Albuquerque, Amarillo, Fort Smith and Oak Ridge.
  • Attend customer agency annual security briefing.
  • Attend agency conferences, meetings or training, which may require out of town travel.
  • Maintain and update staff calendars and timesheets.
  • Other duties as assigned

Qualifications

  • High School Diploma.
  • Associates or Bachelor's degree Preferred.
  • Minimum two (2) years of administrative assistant experience within the last 36 months.


Knowledge, Skills and Abilities
  • Possess a high degree of attention to detail.
  • Experience in health care setting/clinic Preferred.
  • Possess excellent interpersonal communication skills
  • Ability to respond professionally and appropriately to all customer requests, concerns or comments.
  • Ability to be trained by customer agency in customer agency specific security program
  • Ability to apply program requirements to all interactions with customer agency employees.
  • Ability to become familiar with and demonstrate understanding of OST/NNSA/DOE
  • Ability to become familiar with the 10 Code of Federal Regulations, part 712, and
  • adhere to the requirements as specified.
  • Ability to become familiar with and demonstrate an understanding of the Human
  • Reliability Program (HRP) medical requirements
  • Ability to become familiar with customer agency-specific required forms
  • Ability to successfully complete training in customer agency-specific security program and be able to apply these program requirements to all interactions with customer agency employees. This includes familiarity with the HRP 10 CFR 712.
  • Proficient computer skills including use of computer software applications for drafting documents, data management and tracking, and communications (email, video conferencing, instant messaging, etc.), especially those programs in use by DOE (Word, Excel, Adobe Acrobat, Access Database, OneDrive, SharePoint, Outlook, etc.).
  • Ability to quickly learn new computer programs and policies, if necessary.
  • Ability to obtain an L or Q level of Security Clearance
