FWI is building a team to provide comprehensive event planning, logistics, coordination, and on-site support services to the National Science Foundation's Office of Legislative and Public Affairs (OLPA). As an Events Coordinator, you will manage end-to-end logistics for meetings, conferences, exhibits, and high-profile engagements, ensuring seamless execution of in-person, hybrid, and virtual events that effectively communicate NSF's mission.

**Position is contingent upon contract award**

Work Schedule and Location:

Hybrid: This full-time hybrid position will work Monday through Friday, 8:30am to 5pm, with 90% onsite at NSF headquarters in Alexandria, VA

Responsibilities

  • Coordinate end-to-end event logistics including venue selection and management
  • Manage exhibit and booth design and deployment
  • Oversee inventory and materials management
  • Coordinate vendor relationships and oversight
  • Manage on-site setup, operations, and breakdown
  • Design, build, maintain, ship, store, and deploy NSF exhibit kits and activation materials
  • Manage speaker and RSVP processes, including invitations and registration platforms
  • Coordinate speaker preparation activities (briefings, dry runs)
  • Develop event timelines, runs of show, and planning documentation
  • Provide weekly status reports, surveys, and post-event analyses
  • Ensure compliance with Section 508 accessibility standards and NSF branding guidelines


Qualifications

Required:
  • Experience in event planning, logistics, or coordination
  • Experience managing multiple events simultaneously
  • Experience with vendor coordination
  • Proficiency in Microsoft Office
  • Strong written and verbal communication skills
  • Must be able to travel predominantly within the Continental United States
  • Ability to obtain a Public Trust clearance
