FWI is building a team to provide comprehensive event planning, logistics, coordination, and on-site support services to the National Science Foundation's Office of Legislative and Public Affairs (OLPA). As an Events Coordinator, you will manage end-to-end logistics for meetings, conferences, exhibits, and high-profile engagements, ensuring seamless execution of in-person, hybrid, and virtual events that effectively communicate NSF's mission.

Responsibilities
- Coordinate end-to-end event logistics including venue selection and management
- Manage exhibit and booth design and deployment
- Oversee inventory and materials management
- Coordinate vendor relationships and oversight
- Manage on-site setup, operations, and breakdown
- Design, build, maintain, ship, store, and deploy NSF exhibit kits and activation materials
- Manage speaker and RSVP processes, including invitations and registration platforms
- Coordinate speaker preparation activities (briefings, dry runs)
- Develop event timelines, runs of show, and planning documentation
- Provide weekly status reports, surveys, and post-event analyses
- Ensure compliance with Section 508 accessibility standards and NSF branding guidelines
Qualifications
Required:
- Experience in event planning, logistics, or coordination
- Experience managing multiple events simultaneously
- Experience with vendor coordination
- Proficiency in Microsoft Office
- Strong written and verbal communication skills
- Must be able to travel predominantly within the Continental United States
- Ability to obtain a Public Trust clearance
