Position Summary

The Operations Specialist provides high-level support to the CTG President in managing and tracking program activities across the organization's cyber and technology portfolios. This role ensures that all programs meet performance, cost, and schedule objectives through proactive coordination, analysis, and reporting. The Operations Specialist acts as a central liaison between the President, program teams, and functional departments-especially Contracts and Finance-to maintain organizational alignment, contract compliance, and data-driven decision-making.

Key Responsibilities
  • Monitor performance, cost, and schedule metrics for all active programs.
  • Maintain a consolidated program dashboard summarizing key milestones, deliverables, and risks.
  • Track contract deliverables (CDRLs), action items, and deadlines to ensure timely completion.
  • Assist in the development and maintenance of Integrated Master Schedules (IMS) and performance baselines.
  • Develop and maintain a risk register to identify, track, and mitigate program and organizational risks.
  • Collaborate closely with the Contracts Department to track contract modifications, deliverables, and correspondence.
  • Support preparation of contract status reports, deliverable tracking matrices, and compliance documentation.
  • Ensure accurate documentation and filing of all contract-related materials.
  • Collect, analyze, and interpret program data to support decision-making and performance improvement.
  • Prepare regular and ad hoc reports, charts, and briefings for the President and senior leadership.
  • Track financial performance against budgets and forecasts; highlight trends and variances.
  • Develop and maintain briefing materials, presentations, and dashboards for internal and external stakeholders.
  • Support executive meetings by preparing agendas, minutes, and action item logs.
  • Coordinate communication and workflow across departments to maintain program momentum.
  • Recommend and implement tools and processes to improve program tracking and reporting efficiency.
  • Support the development and refinement of standard operating procedures (SOPs) for program management activities.
  • Assist with resource planning, workload tracking, and organizational performance metrics.
  • Assist the President in preparing for strategic reviews, business development planning, and proposal reviews.
  • Consolidate inputs from Contracts, Finance, HR, and Program Management to provide the President with a unified operational picture.


Qualifications
  • Education:
    Bachelor's degree in Business Administration, Management, Cybersecurity, or a related field preferred.
  • Experience:
    3-7 years of relevant experience with a degree, or 7-11 years of relevant experience without a degree, in operations, program management, or business analysis (preferably supporting government, cyber, or technology programs).
  • Secret Clearance
  • Skills & Knowledge:
    • Familiarity with contract management, financial tracking, and project performance reporting.
    • Proficiency with MS Office Suite (Excel, PowerPoint, Word) and project management tools (e.g., MS Project, Smartsheet).
    • Strong analytical, organizational, and communication skills.
    • Ability to manage multiple priorities in a dynamic, fast-paced environment.
    • Active security clearance or eligibility for clearance preferred.
