Planet Technologies, the Nation's leading Microsoft services provider to the public sector, is looking for a highly motivated individual to join our growing team as Sales Assistant. In this role, you will be supporting impactful projects that make a difference for our company.

The Administrative Assistant for Sales is responsible for supporting and managing our sales operations alongside of our Vice President. This role involves managing emails, schedules, creating SOW templates, tracking tasks and opportunities, and communicating with Clients and partners. This role requires a detail-oriented individual with strong organizational and communication skills who can collaborate independently with internal teams, including sales, strategists, and Practice Managers. The Sales Assistant will also review bid sites to identify relevant opportunities, route them to the appropriate staff, and ensure compliance with document requirements for project setup in our tracking system. Additionally, this role will support the production of recurring and one-time reports, providing valuable insights to internal stakeholders.

Education and Experience:

    • Bachelor's degree in business, Communications, Public Administration, or a related field (preferred but not required).
    • 3+ years of experience in sales support/sales, proposal coordination, contract administration, or program management.
    • Experience working with SharePoint, Teams, and Planner (preferred).
    • Expertise in Microsoft Word, Excel, and PowerPoint (required).
    • Familiarity with government and commercial contracting processes, including managing contract vehicles.
    • Excellent verbal and written communication skills


Knowledge, Skills, and Abilities:

    • Strong understanding of sales lifecycle and RFP process.
    • Ability to create and maintain scope of work templates and process for developing scope of work with subject matter experts
    • Ability to review scopes of work and ensure compliance with company policies and standards.
    • Experience managing and maintaining contract vehicles, including renewals and compliance requirements.
    • Ability to filter and route bid site opportunities based on company capabilities.


Technical Abilities:

    • Excellent Customer-facing confidence on video, phone calls, and email.
    • Excellent organization and prioritization skills.
    • Proficiency in Microsoft Outlook for emails and calendars and scheduling, Word, Excel, and PowerPoint for document creation, data analysis, and presentations.
    • Strong familiarity with Microsoft SharePoint for document management and collaboration.
    • Ability to review, analyze, and ensure contract and proposal documents compliance.
    • Strong understanding of RFP/SOW coordination processes, including document formatting, version control, and submission requirements.
    • Experience with government contract management, including maintaining and renewing contract vehicles.
    • Familiarity with procurement portals and bids.
    • Experience producing and managing recurring and ad-hoc reports for business operations.
    • Ability to track technical conversations and learn high-level technical information and products in the Microsoft eco-system.


Essential Duties

    • Coordinating meetings with VP and potential clients in a timely manner.
    • Assist in coordinating on task tracking for sales opportunities.
    • Create SOW templates and processes to work with SMEs on developing what services will be delivered.
    • Assist in coordinating and submitting responses to customer Requests for Proposals (RFPs), ensuring all requirements are met and deadlines are achieved.
    • Review scopes of work to ensure alignment with company standards, policies, and contractual obligations.
    • Collaborate with internal teams to ensure all document requirements for project setup.
    • Manage and maintain special contract vehicles, ensuring compliance and timely renewals.
    • Regularly review procurement portals and bid sites to identify new opportunities and route them to the appropriate internal staff.
    • Maintain accurate proposals, contracts, and compliance documentation records in SharePoint and other tracking systems.
    • Identify opportunities to streamline processes and enhance efficiency in proposal coordination, contract management, and project setup workflows.
    • Other projects or duties as assigned and/or needed.

Salaries for Sales Admins range between $75,000 and $100,000 based on the specific position . Several factors will impact final pay offered to a successful candidate including but not limited to the type and years of experience within the job, clearance level, the type of years and experience within the industry, education, training, etc.
