Position Summary
Odyssey Systems is seeking an experienced Administrative Support Specialist to provide comprehensive staff support to senior managers and organizational personnel. This role requires strong administrative, analytical, and coordination skills to ensure the smooth operation of program activities, meetings, travel planning, and document preparation in support of the Directorate's mission.
Responsibilities
In this Advisory and Assistance Services (A&AS) role, you will provide expert-level support to Department of Defense (DoD) programs by assisting government leadership with decision-making, planning, and execution throughout the acquisition lifecycle. You will apply your technical and/or professional expertise to ensure compliance with applicable policies and regulations, contribute to mission success, and help deliver critical capabilities to the warfighter.

Citizenship: Must be a US citizen
Minimum Required Qualifications
Clearance: Must have an active Top Secret clearance.
Education: Bachlor's Degree
Years of Experience: 5+ years of experience, 5 of which must be in the DoD

Duties include, but not limited to:
- Provide a multitude of analysis, procedural competency, and process improvement strategies with increasing levels of responsibility.
- Deliver staff support for senior managers and members of the organizational staff.
- Research and compile information on projects and topics; prepare factual, clear, concise, and complete written communications.
- Ensure leadership remains informed on all issues of interest relevant to the mission of the Directorate.
- Monitor progress toward completion of taskings and initiatives.
- Supply information and background for the preparation of program events.
- Draft documents for leadership approval and signature.
- Disseminate program policy and specific initiative guidance throughout the organization.
- Coordinate, document, monitor, and support meetings and conferences, including scheduling and managing both physical and virtual setups.
- Prepare background information and ensure required meeting participants are invited; maintain documentation in accordance with organizational policy (e.g., attendance logs, minutes, action items).
- Maintain scheduling documents and video/online conferencing requirements, including equipment maintenance logs and setup instructions.
- Provide travel planning and execution support within regulatory limitations.
Qualifications
Citizenship: Must be a US citizen

Technical Skills
- Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
- Virtual meeting platforms (ZoomGov, MS Teams, etc.)
- Video conferencing and scheduling tools
- Documentation preparation and editing
- Travel coordination tools (DTS familiarity preferred)
Interpersonal Skills
- Detail-oriented and highly organized
- Able to manage multiple priorities and taskings independently
- Professional and clear communicator (verbal and written)
- Proactive problem solver and team contributor
- Comfortable working with senior leadership and cross-functional teams
