Position Summary
Echelon Services is seeking a proactive Manager, Administrative II to coordinate and execute day-to-day administrative operations in support of NIWC Pacific and NAVWAR programs in San Diego. This role manages core business support functions including correspondence control, meeting and travel coordination, records management, supply administration, and task tracking. You will standardize procedures, improve workflows, and deliver polished products on time while supporting senior staff and collaborating across functional teams.
Key Responsibilities
• Coordinate calendars, meetings, visitor access, and travel; prepare agendas and logistics and capture minutes and action items.
• Prepare, edit, and format professional correspondence, information papers, briefings, and status reports that meet DoD and Navy standards.
• Maintain task and suspense trackers; monitor deadlines and follow up to drive closure.
• Administer records and shared repositories; ensure proper organization, retention, and protection of sensitive information.
• Support configuration control and version management for shared documents, templates, and trackers.
• Manage routine supply and property requests; track orders and maintain basic accountability logs.
• Collect and consolidate inputs from finance, logistics, engineering, and cybersecurity staff for recurring reports and deliverables.
• Identify workflow gaps and recommend simple process improvements and SOP updates.
• Provide courteous, timely customer service to government leads, teammates, and visitors.
Qualifications
Required Qualifications
• Active Top Secret with SCI clearance.
• Bachelor's degree in Accounting, Finance, Economics, Business Administration, or a related field.
• Five (5) or more years of administrative or operations support experience; at least two years supporting a federal or DoD environment.
• Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint); able to create clear trackers and executive-ready documents.
• Strong organization and attention to detail with the ability to manage multiple priorities and deadlines.
• Excellent written and verbal communication skills; produces error-free work products.
• Demonstrated self-starter who anticipates needs and follows through with minimal supervision.
Preferred Qualifications
• Experience supporting NAVWAR or NIWC Pacific, or similar DoD program offices.
• Familiarity with DoD/Navy correspondence formats and records management practices.
• Experience developing SOPs, checklists, or simple process improvements.
• Basic familiarity with procurement/supply processes or property accountability.
Compensation and Benefits
• Base salary range: $90,000 to $100,000 annually, depending on experience, education, certifications, and work location within California.
