Roles and Responsibilities:
- Proactively manage a complex and dynamic calendar, strategically prioritizing competing demands and requests
- Work with internal team members to ensure briefing materials and agendas are prepared in advance of all meetings
- Provide administrative support to leaders to include travel coordination and email management
- Coordinate adaptive scheduling of internal and external meetings with senior-level leaders and other key stakeholders
- Support administrative logistics around travel and events
- Work with other front office staff to support office workflow and logistics
- Support communication within executive teams; serve as a POC for incoming requests
Requirements:
- Previous experience working in an R&D or Advanced Research Projects Agency, such as ARPA-H, DARPA, ARPA-E, etc.
- 5+ years of experience providing administrative and/or scheduling support to senior leaders
- 3+ years of experience in federal contracting or government
- Experience providing executive support to include scheduling, following up on travel arrangements, developing and editing communications, and interacting with several levels of personnel
- Experience with Microsoft Office, Excel, Word, and PowerPoint
- Experience with scheduling software and tools
- Strong communication skills with experience engaging a broad range of stakeholders, including U.S. and foreign government officials in addition to private sector executives
- Ability to be well-organized, detail-oriented, and adept at multitasking and prioritizing responsibilities to meet deadlines
