Credence Management Solutions, LLC (Credence) is hiring an Administrative Assistant who will be primarily responsible for supporting AFLCMC/OZT (PLM) at WPAFB, OH.
Responsibilities include, but are not limited to the duties listed below
- Provide Government leadership support, coordinate executive calendars, schedule meetings, and manage executive documentation.
- Provide Program Management support, assist in a wide range of program management activities, collaborating with functional managers, external agencies, contractors, and the customer. This includes:
- Preparing technical materials, management presentations, and briefings.
- Compiling meeting minutes and agendas.
- Gathering and analyzing program information.
- Coordinating milestone planning, tracking schedules, and preparing briefings.
- Tracking action items and ensuring timely follow-up.
- Documentation Management, schedule and facilitate documentation reviews.
- Support government leadership and other office personnel by maintaining/coordinating MS Outlook calendars within the organization to maintain accuracy and facilitate seamless operations across the MAJCOM in the hybrid working environment.
- Coordinate and assist with the program Teams Channel and SharePoint site for program documentation and implementation of procedures for document creation, filing, copying, and control of documentation, correspondence and action items. Review documents for information accuracy.
- Assist in the use of computer applications (Microsoft Office Software Suite) to produce databases, spreadsheets, graphics and other specialized products and facilitate the use of standardized automated forms such as organizational charts; Pyramid Alert/Recall and Shelter-In-Place rosters.
- Provide support for all program level leadership meetings (in-person/online). Plan and coordinate meetings to include room set-up (ensuring audio/video, sufficient seating, name placards, etc.) Provide support for internal/external briefings by leveraging expert knowledge and capability in the use of MS Office Suite to produce slides, briefing charts, other graphics, including document version control on SharePoint.
- Managing conference room logistics for executive and program level meetings.
- Monitor office supplies and assist the organization focal point to ensure adequate levels.
- Support program by taking meeting attendance, minutes and capturing action items.
- Perform workflow management functions as needed to ensure timely organization response to external suspense and taskings. Necessary workflow management functions shall include receiving suspense/tasker notices and details from sources, analyzing suspense/taskers for execution assignment, assigning the proper action officers and suspense dates; tracking, formally responding to the tasking organization, closing out the suspense/tasker, and archiving completed actions. Collaborate with organization Senior Functional Leads and assist in managing tasks from the AFMC TMT database.
- Monitor the division organizational workflow e-mail account and distribute information and/or execute taskings as required providing responsive support to organization leadership and divisions.
- Participate in all programmatic level meetings and planning boards, capture and record in the action- item tracker. Monitor and update the action-item tracker as required.
Requirements
- Secret security clearance required.
- Proficiency in Microsoft Office Suite
- Bachelor's and three years of experience required.
- Additional experience may substitute in lieu of a degree.
