Are you an organized and customer-service-oriented individual with experience in supporting front desk operations and administrative tasks? We have an exciting opportunity for you! As an Administrative Coordinator II, you will support the front desk operations of our facilities while providing top-notch customer service to both internal and external parties. You will coordinate proactive administrative support for multiple leaders at the Manager and Director levels and ensure seamless front desk operations.

The ISR (Intelligence, Surveillance & Reconnaissance), Aviation, and Security (IAS) business area is a leader in ISR and aviation, it is a leading prime manned and unmanned aircraft systems integrator for innovative, high-performance ISR and aviation systems. Its end-to-end Command, Control, Computers, Communications and Intelligence, Surveillance & Reconnaissance (C4ISR) capabilities encompass design, integration, test, certification, ground/flight training and complete logistics support. Responsibilities:
  • Support front desk operations, providing excellent customer service to internal and external parties.
  • Welcome, direct, and announce all visitors in a professional demeanor, screen and badge each visitor in accordance with security procedures, and answer and direct all incoming calls courteously.
  • Coordinate proactive administrative support for multiple leaders at the Manager and Director levels.
  • Receive, sort, and distribute daily mail deliveries; facilitate shipping and receiving of office items; process envelope postage, including UPS and FedEx shipping labels.
  • Maintain office and breakroom supplies, schedule office equipment maintenance, and coordinate conference room set-up, catering, and IT equipment requests.
  • Prepare and submit expense reports and purchase requisitions; maintain contact information and filing system processes.
  • Execute all clerical duties including copying, scanning, faxing, filing, and data entry.
  • Liaise with Human Resources and Security in new employee orientation tasks for your facility.
  • Contribute to the completion of various projects and goals for Administration, Human Resources, and Security.
  • Utilize AI tools and technologies to enhance administrative efficiency and support decision-making processes.


Qualifications You Must Have:
  • High School Diploma or GED Equivalent and 2 years of administrative experience.
  • Proficient knowledge of Microsoft Office tools, including Word, Excel and PowerPoint is required.
  • Must have general knowledge of administrative practices, to include clerical duties such as data entry, filing and utilizing office equipment.
  • Must have experience with maintaining a secured facility, or working in a military or Department of Defense environment.
  • Professional demeanor and excellent communications skills required, including the ability to manage a multi-line phone system.
  • Must be extremely dynamic, demonstrate initiative, and have the ability to multi-task in a very fast paced-environment.
  • Must be able to solve a variety of problems of moderate scope and complexity, and contribute to projects and goals.


Qualifications We Prefer:
  • Experience with Microsoft collaboration tools such as Teams and SharePoint
  • Experience with Security and Safety protocols
  • Experience with Concur Travel and Expense platform or other travel management system
  • Fa miliarity with AI tools and technologies to improve administrative processes and support decision-making.
