Job Description
BAE Systems is seeking an exceptional Executive Administrator (EA) for an exciting opportunity to support the Intercontinental Ballistic Missile (ICBM) Integration Support Contract (ISC) Minuteman III Systems Program Office (SPO) located at Hill Air Force Base.

Detailed Job Description:
This position will directly support the MMII branches/Integrate Product Teams (IPT) in the sustainment and acquisition of various programs involving the weapon system. The EA will support various requests from branch and section leadership which involves a very detailed approach in the execution of daily and weekly tasks. The tasks include the preparation and review of documents and presentations to ensure products are delivered on-time and have excellent quality. The EA performs a variety of tasks including: administrative and clerical tasks, data collection, data management, manager calendar/schedule management, event/meeting planning, and updating program status internally to the branch/IPT lead.

This position may also perform the following duties and responsibilities:
* Develop, prepare, and coordinate reports, information papers, and organizational briefings
* Prepare agendas, schedule/prepare for meetings (Group Staff meeting, Integrated Product Teams, Summits, etc), maintain calendars, and conference room schedules' monitoring. Actively manage calendar of designated leader and schedule in-person, virtual, and hybrid meetings as required:
    • Consistently monitor calendar for changes and updates to meeting date, time, or location
    • De-conflict scheduling conflicts as they arise
    • Use Microsoft Teams for scheduling virtual meetings where needed
    • Schedule classified meetings for leadership, reserving appropriate conference rooms based on classification level and mode of discussion (in-person vs. AF7 vs. Secret VTC)
    • Coordinate with government Security office to ensure leader's visit request is submitted where required for classified meetings on base or when leader is traveling
    • Ensure meeting briefing materials are requested and distributed, and that read-aheads are provided when available from the meeting host or briefing organization
    • Print calendar for leadership daily as needed/requested
    • Serve as POC for MMIII Branch/IPT-level calendaring and scheduling matters that require coordination for assigned manager
    • Lead/manage meetings to support MMIII goals/objectives
    • Perform additional duties assigned by the customer IAW work statements, as requested.
* Analyze business and technical processes to assist in development and implementation of new and modified processes and policies
* Assist with collection and compilation of program data/inputs on the weekly/monthly/quarterly basis and prepare for reviews

Pursuant to Government contract, this position requires US Citizenship status.

This position is only located at Hill Air Force Base, UT, due to working environment and is not conducive to regular "telework" schedules

Required Education, Experience, & Skills
12 years' of directly related experience in administrative management.

Eligible for a Secret security clearance

Preferred Education, Experience, & Skills
Bachelor's degree
Experience working with the US Air Force, Minuteman III and/or Sentinel programs is highly desired.
Self-motivated with excellent verbal and written communications skills in addition to sound interpersonal skills involving interfacing, coordinating and negotiating with customer and company personnel
Familiarity with, or willingness to rapidly learn, DoD acquisitions activities in accordance with DoD Directive 5000.01 and DoD Instruction 5000.02, as well as any other relevant U.S. law, DoD, CJCS, USAF, or other Service Component directives, policies, instructions, or guides
Very high level of proficiency using office software such as Microsoft Office Word, PowerPoint, and Excel and Teams.

Familiarity with, or willingness to rapidly learn, schedule management programs such as Primavera or Microsoft Project is desirable.

Pay Information
Full-Time Salary Range: $90373 - $153634

Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
