Description
Vistra is seeking an Event & Meeting Coordinator to support planning, coordination, day-of execution, and follow-on logistics for events related to suicide prevention and response in the military, including conferences, trainings, roundtables, and working groups.
This position is primarily remote but is required to reside in the National Capital Region (NCR), with ad hoc on-site requirements at the Mark Center and/or Pentagon.

Vistra is seeking an Event & Meeting Coordinator to support planning, coordination, day-of execution, and follow-on logistics for events related to suicide prevention and response in the military, including conferences, trainings, roundtables, and working groups.

Key Responsibilities:
- Support planning and logistics for conferences and roundtables, coordinating speakers, materials, and event branding to ensure seamless execution
- Assist with agenda development, communications, and on-site support to deliver high-quality, well-organized events.
- Perform other tasks as assigned.
Requirements
- Bachelor's degree in Hospitality, Communications, Public Affairs, or related field and 3+ years experience
- Experience supporting logistics and coordination for conferences, roundtables, or organizational meetings
- Experience coordinating event materials, name badges, signage, and on-site logistics
- Experience maintaining project trackers, timelines, and event documentation
- Experience supporting agenda development, speaker outreach, and attendee communications.
- Ability to manage scheduling, task tracking, and communication among internal and external stakeholders.
- Ability to manage multiple priorities under tight deadlines with precision and expert attention to detail
- Ability to provide day-of-event support, including registration, set-up, and troubleshooting
- Ability to obtain a Secret Clearance
Additional Preferred Qualifications:
- Experience working with government or large organizational clients
- Experience using event coordination tools (e.g., Smartsheet, SharePoint)
- Ability to assist with event communications, presentations, and follow-up documentation
- Interest in learning event design, creative direction, or audience engagement strategies
