Provide senior administrative support and project information services with a focus on facilities operations and audio-visual (AV) management for conference rooms, training rooms, and the business center. Ensures reliable on-site event support, high-quality content, and outstanding customer service. Key Responsibilities
- Create and implement organizational/administrative policies and procedures to optimize operations.
- Evaluate program effectiveness and recommend improvements across facilities and AV services.
- Provide staff training and technical assistance on systems, procedures, and best practices.
- Oversee information and records management practices supporting IRC operations.
- Administer and support IT systems, databases, and computerized tools used by the team.
- Provide on-site AV technical support during events (e.g., microphone/monitor connectivity, presentation access).
- Create and edit AV content such as presentations and videos.
- Set up and reset conference rooms, board rooms, and training rooms; coordinate business center operations.
- Support office management, building/facilities management, human resources, and security-related processes as needed.
- Manage multiple tasks and deadlines; identify and resolve complex problems.
- At least 10 years of administrative management or relevant work experience.
- Experience designing and implementing administrative policies and procedures.
- Demonstrated ability to evaluate program effectiveness and drive improvements.
- Experience providing staff training and technical assistance.
- Experience in information and records management.
- Proficiency using diverse IT programs, databases, and computerized systems.
- Excellent written and verbal communication skills; commitment to innovative, quality customer service.
- Physical ability to move a large number of files and/or file boxes.
- Hands-on AV event support experience (connectivity, presentation/media access).
- Experience producing/editing presentations and videos.
- Experience setting up conference/board/training rooms.
- Experience in office management, building/facilities management, HR, and/or security.
- Bachelor's degree in business or information management; related certifications preferred.
