Job Description
The Livermore Institute for Fusion Technology (LIFT) is seeking an Executive Coordinator to provide advanced administrative, project coordination and executive-level specialized support. In this role, you will support the LIFT Director and Leadership Team by coordinating complex projects, facilitating communication, and contributing to the achievement of strategic objectives. You will use sound judgment and initiative to manage sensitive information, prioritize competing demands, and ensure the effective execution of LIFT's multifaceted portfolio. This position is in the National Ignition Facility and Photon Science (NIF&PS) Principal Associate Directorate and reports to the LIFT Director.

In this role, you will
- Coordinate and track multiple complex work streams across LIFT and related thrust areas, ensuring alignment with organizational goals and deliverables.
- Exercise independent judgment and decision-making to manage priorities, resolve administrative and operational issues and recommend improvements to processes and systems.
- Utilize comprehensive knowledge to synthesize information from various sources to support strategic planning and recommend actions. Assist in the execution implementation of long-term objectives.
- Serve as a trusted point-of-contact and confidante to the LIFT Director, handling sensitive and confidential matters with discretion.
- Facilitate cross-team communication, including with Laboratory senior management and external partners, to maintain project momentum and support positive outcomes.
- Assist in business development activities, including gathering and analyzing data, preparing recommendations, and supporting initiatives involving LIFT and associated programs.
- Establish and maintain databases, spreadsheets, and tracking systems to monitor project status, action items, and results, providing regular updates to management.
- Provide executive-level administrative support, including managing calendars, preparing meeting materials and supporting high-level meetings and events.
- Lead and coordinate the hiring and onboarding of project staff, ensuring compliance with organizational policies and timelines.
- Collaborate with the Leadership Team and stakeholders to support program vision and provide input strategic initiatives.
- Perform other related duties as assigned.
Qualifications
- Ability to secure and maintain a U.S. DOE Q-level security clearance which requires U.S. Citizenship.
- Bachelor's degree in Business, Business Administration, or related field and/or equivalent combination of education and previous relevant experience.
- Experience coordinating multiple and/or multi-faceted work streams including researching, interpreting, formulating recommendations, and applying related policies and procedures while proactively meeting initiative needs and requirements; includes tracking, compiling, monitoring, and analyzing data.
- Broad and in-depth knowledge of Laboratory business, operations, and program/discipline organizations; demonstrated knowledge of external organizations at the local, State and National levels.
- Advanced organizational and attention to detail skills, flexibility, and ability to prioritize multiple and complex tasks, often with conflicting priorities and deadlines.
- Ability to assume responsibility on behalf of others and/or self and make decisions independently under minimal supervision.
- Experience interacting with all levels of personnel, both internally and externally to an organization, while exercising a high degree of discretion, mature judgment, and tact in handling issues of a classified and/or sensitive nature.
- Advanced communication skills are necessary to effectively explain, present, and resolve various and multi-faceted issues using creative problem-solving skills.
- Excellent time and project management and advanced organizational and analytical skills with demonstrated ability to ensure accuracy (particularly when under pressure), prioritize, anticipate, identify, and resolve multiple and complex tasks and problems, and work effectively in a fast-paced and rapidly changing environment with short deadlines and frequent interruptions, using a high degree of mature judgment, discretion, and tact.
- Experience working with complex software applications and ability to learn new applications, with advanced skills in Microsoft Office Suite applications: email, calendaring, and using Excel to develop and maintain spreadsheets.
