Position Title: General Administrative, Grants, & Travel Management Specialist
Location: US Trade and Development Agency (USTDA), Arlington, VA
Security Clearance Level: Secret
Duties and Responsibilities
- Provide general administrative management support to USTDA operations and program staff
- Conduct reviews and verification of grant and contract deliverables, such as final reports, cost share certifications, and final project for contract and grant invoices, travel management, building and facilities management, and other administrative management-related support.
- Track the expiration of USTDA subscriptions to external publications and provide a draft action memorandum to the Director or Deputy Director of Administration for renewal requests
- Review grant Requests for Proposal (RFP) packages for completeness and consistency in conjunction with Agency staff prior to posting to the Agency's website
- Maintain and update Document Flow Process Map
- Assist staff in identifying and institute process change improvements in support of Agency administrative and operational management functions
- Assist the Office of Administration with staff onboard and offboard, including, but not limited to setting up new office space, maintaining staff directories, maintaining the Agency supply inventory, and preparing the appropriate documentation for ordering
- Provide training to agency staff on functions and responsibilities, and agency business processes and procedures as related to all functions and Agency document flow
Knowledge and Qualifications
- At least 7 years of administrative management or relevant work experience
- Experience in creating and implementing organizational or administrative management policies and procedures
- Experience evaluating program effectiveness and recommending improvements
- Experience providing training and technical assistance to staff
- Experience in information and records management
- Experience with other administrative services like office management, building and facilities management, human resources, and/or budget/finance
- Experience with travel management
- Proficient in the use of a variety of IT programs, databases, and computerized systems
- Excellent written and verbal communication skills
- Commitment to innovative and quality customer service
- Physical ability to move a large number of files and/or file boxes
- Experience providing on-site technical support, troubleshooting issues with AV equipment during events such as microphone and monitor connectivity; presentations or visual material access
- Experience creating and editing audio-visual content such as presentations and videos
- Experience setting up conference, board, or training rooms
- Experience with other administrative services like office management, building and facilities management, human resources, and/or security
- Ability to manage multiple tasks, prioritize work, and meet deadlines
- Ability to identify and resolve complex problems
- College degree required in business or information management and/or related certifications
- Proficient in the use of commercial software packages and databases, such as Microsoft Outlook, Teams, Word, PowerPoint, and Excel
- Possess the ability to respond flexibly and to provide rapid assistance in a time-sensitive environment
- Possess strong organizational and customer service skills
- U.S. Citizenship
- SECRET security clearance.
- Knowledge and experience providing quality customer service to Government employees, military personnel, contractors, and/or visitors
