Position Title: Administrative Support Specialist (Mail, Filing)
Location: US Trade and Development Agency (USTDA), Arlington, VA

Duties and Responsibilities
- Maintain and keep up to date the USTDA Correspondence Procedures Manual for internal document distribution
- Assist with the development of the USTDA mailing list
- Review, process, and log all incoming unclassified mail and packages
- Check and verify the presence of all correspondence attachments and contact the originator or appropriate staff member if discrepancies are found
- Distribute mail and packages to staff following the USTDA Correspondence Guidelines
- Maintain entries to the Correspondence log
- Review and distribute incoming agency faxes and electronic documents to staff in accordance with the USTDA Correspondence Guidelines
- Check the Agency's general email accounts daily and distribute emails to the appropriate office or staff person
- Pick up outgoing mail and express delivery pouches and deliver to the post office and other off-site locations as required, including packages via commercial delivery vendors as required
Knowledge and Qualifications
- 1-3 years of experience in a professional office environment as a support assistant or receptionist, or equivalent position
- Experience handling phone calls, emails, and mail, serving as the point of contact for internal and external communication
- Experience collecting, sorting, and distributing incoming mail
- Ability to maintain records of receipt, mailing dates, and other required information
- Ability to ensure appropriate mailing and/or shipping of packages, letters, etc.
- Experience managing calendars, scheduling meetings, appointments, and greeting high-level guests
- Experience creating and distributing correspondence, reports, and other documents
- Experience providing general office support like various administrative tasks, data entry, filing, and customer service
- Experience with upkeep and setting up of all conference and training rooms
- Ability to manage multiple tasks and prioritize effectively
- Ability to manage the receptionist area
- Effective written and verbal communication skills for interacting with various individuals
- Proficiency in office software and equipment
- Physical ability to move large number of files and/or file boxes
- High School diploma required, higher education preferred
- Proficient in the use of commercial software packages and databases, such as Microsoft Outlook, Teams, Word, PowerPoint, and Excel
- Possess the ability to respond flexibly and to provide rapid assistance in a time-sensitive environment
- Possess strong organizational and customer service skills
- U.S. Citizenship
- SECRET security clearance.
- Knowledge and experience providing quality customer service to Government employees, military personnel, contractors, and/or visitors
