Procurement and Project Coordinator (Hybrid)

Dotted Line to: Director of Portfolio Management
Location: Hybrid (Minimum 3 days in-office/week) in our office in Arlington, VA
Position Summary:
We are seeking a highly organized and versatile Procurement and Project Coordinator to support our growing operations. This multi-functional role sits within the Contracting department and is responsible for managing procurement activities, maintaining alignment between purchase orders and receiving, supporting contract compliance, coordinating with project teams, and overseeing general office operations.
This position reports directly to the Vice President of Operations and works closely with the Director of Portfolio Management to provide ongoing project support.
Key Responsibilities:
Procurement and Purchasing
• Lead day-to-day procurement operations, including sourcing, vendor communication, and purchase order execution.
• Manage the full PO lifecycle, including issuing POs, tracking deliveries, reconciling receiving reports, and ensuring accurate data entry into CostPoint.
• Maintain procurement records and ensure compliance with internal processes.
Contracting and Compliance Support
• Assist in reviewing contracts and verifying that contract requirements are met for new and existing projects.
• Track contract deliverables and maintain documentation to support project and compliance reporting needs.
• Work with internal stakeholders to ensure contract files are organized and current.
Project Coordination
• Support the Director of Portfolio Management with project planning, scheduling, and tracking of key milestones.
• Maintain and organize project documentation and facilitate cross-functional communication.
• Help ensure projects remain on schedule and within scope.
Office Management
• Oversee office supply inventory and order replenishments as needed.
• Coordinate general office operations, including vendor management and facility-related needs.
• Serve as the primary point of contact for in-office logistics, ensuring a productive and organized workspace.
• Manage parking pass distribution for employees and visitors, including tracking usage and coordinating with building management as needed.
