POSITION SUMMARY

Operational Support Specialist is responsible for supporting the National Security Division's (NSD) administrative and accounting needs. This role will require interacting with Independent Contractors (IC) to ensure operational and administrative tasks are completed accurately and efficiently.

RESPONSIBILITIES
  • Oversee administrative functions for the National Security Division (NSD), including payroll and accounting transactions.
  • Partner with Accounts Payable to process and manage Independent Contractor (IC) payroll.
  • Ensure accuracy of IC pay records.
  • Provide employment verifications for ICs.
  • Review and process IC expense reports, ensuring proper coding for accounting purposes.
  • Process reports from the field (e.g., musters) and convert them into payments or invoices.
  • Manage monthly accounting and billing activities, ensuring accuracy and compliance.
  • Collaborate with Project Control to complete monthly reports.
  • Pre-coordinate events and training sessions as needed.
  • Continuously improve administrative processes to enhance operational efficiency.
  • Collaborate across all MSS divisions to support cross-functional operations.
  • Prepare confidential correspondence, complex reports, and other sensitive documents, and oversee archiving, records retention, data backups, and ensure confidentiality of those records.
  • Perform additional duties as assigned.


QUALIFICATIONS

  • B.S. Degree preferred or equivalent work experience, with demonstrated analytical skills
  • Must have the ability to obtain and maintain a US Top Secret level clearance
  • Accounting experience preferred
  • Must have strong working ability with MS Office Suite, specifically Excel
  • Desired skills include familiarity with Deltek, Concur and SharePoint
  • High level of effective interpersonal and communication skills, with ability to correspond with senior level clients, executives and others verbally and in writing
  • Ability to make administrative and procedural decisions regarding sensitive and confidential issues
  • Have the ability, willingness and initiative to organize and lead collaborative efforts among a wide range of individuals and departments

WORKING CONDITIONS

Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday-Friday from 8:00 am to 5:00 pm, however some extended or weekend hours may be required.

PHYSICAL REQUIREMENTS

May be required to lift and carry awkward items weighing up to 25 lbs. Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the workday.
