Job Description
The Building People LLC is seeking an Executive Assistant who provides high-level administrative support to senior leadership, office management, and logistical support. This role ensures seamless calendar management, correspondence, travel arrangements, and coordination of key office operations. In addition, the Executive Assistant supports board meetings, special events, and employee engagement initiatives, serving as a central resource to ensure organizational effectiveness and efficiency. This is a full-time, onsite role four (4) days a week, based at our Leesburg, VA headquarters.

Key Responsibilities:

Executive Support (Primary)
  • Manage executive calendars, scheduling, and meeting coordination.
  • Draft, review, and manage internal and external correspondence.
  • Arrange executive and company travel, including flights, accommodations, and itineraries.
  • Oversee Capitals season ticket management, including distribution and tracking.
  • Track action items from leadership meetings and ensure timely follow-up.

Office Management
  • Support front desk and reception duties, including greeting visitors and unlocking elevator access.
  • Oversee office supply ordering and inventory.
  • Process and log mail/packages (send, receive, distribute).
  • Support meetings, including scheduling and preparation.
  • Record meeting minutes and support agenda coordination.
  • Manage company travel bookings and ensure adherence to travel policies.

Events, Branding & Logistics
  • Manage event and conference registrations.
  • Maintain HQ apparel stock for employees and events.
  • Coordinate pop-up store management and related logistics.
  • Organize event and conference giveaways to support branding initiatives.
  • Coordinate employee apparel orders and distribution.


Skills & Requirements
Required Experience & Skills
  • Proven experience as an Executive Assistant, Office Manager, or in a similar administrative role.
  • Strong organizational and multitasking skills with attention to detail with the ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
  • Ability to handle sensitive information with discretion and professionalism.
  • Strong problem-solving skills with a proactive and flexible approach.


Preferred Experience & Skills
  • Experience supporting senior executives in a fast-paced environment.
  • Background in event planning and logistics coordination.
  • Ability to adapt quickly and manage shifting priorities.
