Position Overview
The Journeyman DV Visit Coordinator & Conference/Event Planner will provide essential on-site support for Distinguished Visitor (DV) tours, corporate tour coordination, and event planning within the Aerospace Systems Directorate. The role involves supporting a diverse range of visitors including senior Air Force and DoD leadership, industry leaders, academic representatives, and STEM communities.

The Journeyman DV Visit Coordinator & Conference/Event Planner will provide essential on-site support for Distinguished Visitor (DV) tours, corporate tour coordination, and event planning within the Aerospace Systems Directorate. The role involves supporting a diverse range of visitors including senior Air Force and DoD leadership, industry leaders, academic representatives, and STEM communities.
Key Responsibilities
- Provide comprehensive support for DV visits and corporate tours, including logistics, site selection, agenda development, protocol adherence, transportation scheduling, dry runs, area checks, tour execution, and escorting groups.
- Maintain regular coordination with enterprise-level tour points of contact to keep leadership informed of upcoming tours and dignitary visits.
- Work closely with Front Office Group (FOG) members to approve and track support for requested tours and site visits; ensure detailed documentation of approvals and updates is accessible to leadership.
- Coordinate logistics with executive assistants and protocol offices, including calendar management, parking, food orders, and meeting arrangements.
- Schedule and support FOG members or designated personnel to meet and greet tour groups, prepare briefing areas, and ensure tours run on time and smoothly.
- Assist with protocol activities and familiarize with associated procedures.
- Develop and recommend marketing plans and products to support tradeshow events, effectively communicating the organization's mission and capabilities.
- Produce, edit, and review materials for public release approval in coordination with corporate events.
- Create performance and procurement reports related to event materials and activities.
Required Skills & Qualifications
- Minimum 3 years of experience in event planning, visit coordination, or related fields.
- Ability to obtain and maintain Secret Clearance.
- Strong organizational skills with attention to detail and ability to manage multiple concurrent events and tours.
- Familiarity with protocol and logistics coordination for high-level visitors.
- Excellent communication and interpersonal skills to effectively interact with diverse stakeholders.
Education
- Associate Degree in Event Management, Business Administration, Communications, or related field required.
