Position Overview

The Senior Administrative Professional will provide comprehensive administrative support to the Finance Division Chief, Contracting Branch Chief, and the Finance Division. The role involves handling classified and unclassified material, managing records, supporting reporting and documentation, coordinating meetings and schedules, and assisting with digital meeting platforms.

Key Responsibilities
  • Support administrative tasks for management operations of Finance Division Chief and Contracting Branch Chief.
  • Comply with security regulations related to handling and safeguarding classified materials.
  • Track personnel manning; prepare organizational charts and recall rosters.
  • Expertly utilize USAF standard desktop computers and Microsoft Office 365 suite to produce databases, spreadsheets, graphics, and specialized products.
  • Perform data entry for systems such as Comprehensive Cost and Requirement System ( CCaR ), timekeeping, AFRL Work Unit App, and case files.
  • Integrate information into reports to ensure timely and accurate submissions.
  • Manage training requirements, files, forms, and file plans (paper and electronic).
  • Process and distribute mail, both classified and unclassified.
  • Operate facsimile, scanning, printing, and copying equipment; order office supplies and equipment as needed.
  • Assist in planning, editing, creating, and publishing program documentation, reports, briefings, and presentations across multiple formats and classification levels.
  • Serve as Record Custodian, maintaining master files and file plans; assist with Operating Instructions (OIs) and Self Inspection checklists.
  • Collect and visually display materials for staff and information exchange meetings.
  • Collaborate with Video Conferencing Manager and digital platform contractors to support scheduling and connectivity.
  • Retrieve data and maintain tracking systems to identify deficiencies and track corrective actions.
  • Act as primary point of contact for records management, time and attendance, and other administrative documentation.
  • Prepare Chiefs of Finance and Contracting for meetings by gathering materials, researching background, and providing briefings.
  • Maintain SharePoint sites and electronic documentation, ensuring accuracy and accessibility.
  • Coordinate and manage calendars, schedule appointments, meetings, travel, and meeting spaces for Chiefs and directorate visitors, including parking and building access.

Required Skills & Qualifications
  • Minimum 10 years of experience in administrative support within a military or government environment.
  • Ability to obtain and maintain Secret Clearance.
  • Proficient with Microsoft Office 365 suite and USAF standard desktop systems.
  • Experience managing classified material and compliance with security protocols.
  • Strong organizational, communication, and multitasking skills.
  • Knowledge of records management and digital collaboration tools such as SharePoint.

Education
  • Associate Degree in Business Administration, Office Management, or related field required.
