Job Summary: The Administration Specialist will report directly to the Site Manager. This position is located at Thule AFB, Greenland. The Administration Specialist (ADM) is responsible for the daily administration of those functions necessary in the support of all InDyne Thule employees. Other duties and responsibilities may be assigned to meet the needs of contract and site administration.

Essential Duties and Responsibilities:
  • Responsible for administration of the sites daily activities. Performs diverse administrative duties, typically for one or more supervisors, managers, senior staff members, and/or an organizational unit. Acts as an information source on organizational policies and procedures; gathers, compiles, and reports information.
  • Performs new hire orientation ensuring that all documentation, benefits enrollment, and security verifications are completed accurately. Processes terminating employees in accordance with company and government directives.
  • Makes and/or assists with arrangements for travel, meetings, tours, conferences, seminars, etc., including scheduling rooms, planning and ordering refreshments, and arranging for equipment. Coordinates travel with Airport Passenger Service and the Project Management Office (PMO).
  • Acts as a resource to others by utilizing available reference tools to provide, communicate, and/or distribute information (i.e., intranet to access forms, policies, procedures, manuals, etc.).
  • Performs various administrative functions involving sensitive information, such as typing performance appraisals and processing U.S. passports and VISA requests, etc. Determines confidentiality of information, as appropriate.
  • Acts as the Functional Area Records Manager (FARM).
  • Assists with maintaining the sites financial records.
  • Responsible for keeping employee records current.
  • Acts as the Industrial and Physical Security representative.
  • Acts as the Housing Manager.
  • Provides backup coverage to other staff positions as directed by the Site Manager or designated representative.
  • Maintains a safe work environment and ensures compliance with safety objectives and policies. Shares responsibility of self-development with immediate supervisor.

Educational/Training Requirements:

High School Diploma or Equivalent

Minimum of four years of experience in office administration with demonstrated skills in the use of automated office products such as Microsoft Office (Word, Excel, Outlook).

A sound background with master and functional publication libraries, industrial and physical security, and resource protection is desirable.

Required Skills/Experience:
  • Excellent communication skills both written and verbally.
  • Ability to track purchases and manage budget as supplied.

Supervision:
  • The Site Manager serves as the general supervisor for the Administration Specialist.

Work Environment:
  • Expected to be able to lift to 50-pound loads on occasion in a normal working office environment and may work extended hours on weekends and holidays. Travel throughout the Thule Defense area is routinely required. Rotation schedule will be 8 weeks on and 5 weeks off with possibility of adjustment. A 66-hour work week will be the norm.

Physical Demands:
  • Walking, siting, typing, bending and lifting items as required within position requirements.

Clearance Requirements:
  • Currently hold or be able to obtain and maintain the proper US DoD issued security clearance, which requires US Citizenship. Security clearance eligibility may be discussed during the interview phase.
  • Employment and start date is contingent upon the candidate receiving the required US DoD issued interim security clearance
