RMGS, Inc. is currently recruiting an Accounting Assistantto provide support to our headquarters in Virginia Beach, VA.
Key Responsibilities:
- Assist in maintaining and updating the electronic expense reporting system, including inputting new users, vendors, bank account details, and applicable per diem rates.
- Support the travel process by helping prepare travel requests, obtaining necessary approvals, and assisting with booking arrangements.
- Process and track travel advance requests and assist with verifying supporting documentation.
- Maintain accurate travel logs (CONUS and OCONUS) and assist with compiling and organizing travel claims and expense reports.
- Review travel expense submissions for completeness and accuracy and assist with entering related voucher data into the financial system using correct project codes and accounting lines.
- Help reconcile the Corporate Travel Credit Card monthly statement and maintain thorough documentation for audit readiness.
- Support monthly reconciliation of travel-related general ledger accounts.
- Assist in the preparation and submission of client invoices, including collecting supporting documentation, verifying billable charges, and ensuring accuracy in line with contract terms.
- Track invoice statuses, follow up on outstanding items, and maintain billing records.
- Collaborate with project and finance staff to resolve billing or travel discrepancies.
- Assist with creating and maintaining contract and financial files in accordance with internal procedures.
- Provide administrative support in the development and documentation of accounting procedures and compliance with DCAA standards.
- Support the annual Incurred Cost Submission process by gathering and organizing required documentation.
- Perform basic bank account reconciliations.
- Perform additional administrative, accounting, and finance-related tasks as assigned.
Education:
- High school diploma or equivalent (required)
- Associate’s or Bachelor’s degree in Accounting, Business, or a related field may be given additional consideration
Experience:
- Minimum 2 years of experience in administrative, billing, or accounting support roles (government contracting experience preferred)
- Familiarity with client invoicing processes and government billing requirements (preferred)
- Experience with Deltek/Costpoint or similar ERP/accounting software (preferred)
Minimum Qualifications:
- Reliable transportation
- Strong attention to detail and high level of accuracy
- Ability to manage multiple responsibilities and deadlines
- Good communication skills, both verbal and written
- Professional demeanor and ability to work independently or as part of a team
- Proficiency in Microsoft Word and Excel (intermediate), Adobe Acrobat, email platforms, and Costpoint Time & Expense (preferred)
- Ability to maintain confidentiality and handle sensitive information appropriately
Work Conditions:
- This is a full-time position with hybrid flexibility depending on the department's needs
- Standard work hours are Monday – Friday, 8:00 AM – 5:00 PM.
- Occasional extended or weekend hours may be required based on workload or deadlines.
