POSITION SUMMARY
The Executive Assistant will support the Director (D) and Deputy Director (DD) of the National Security Division (NSD) with a range of operational and administrative responsibilities with limited direction and guidance. A key responsibility is to assure smooth communications between the D/NSD and program administrative staff, Independent Contractors (IC) and other departments/divisions of the company. The Executive Assistant will work on special projects as assigned by the D or DD / NSD and facilitate the completion of those projects in a timely manner.

WORKING CONDITIONS
Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday-Friday from 8:00 am to 5:00 pm, however some extended or weekend hours may be required. Location must be in the Northern Virginia area.

A key responsibility is to assure smooth communications between the D/NSD and program administrative staff, Independent Contractors (IC) and other departments/divisions of the company. The Executive Assistant will work on special projects as assigned by the D or DD / NSD and facilitate the completion of those projects in a timely manner.
RESPONSIBILITIES
- Continuously elevate the level of support necessary to effectively improve the professional image and operation of the NSD team.
- Effectively manage and execute a wide variety of tasks including but not limited to: managing D/NSD and other e calendars, organizing travel to/from appropriate venues with D or DD / NSD, coordinating executive level meetings and events, and preparing presentations, as requested.
- Prepare read ahead materials and review schedules in advance of each day.
- Participate in executive meetings as required, prepare confidential meeting minutes and track actions.
- Support executive compliance efforts as process owner, document custodian and internal auditor.
- Coordinate NSD events such as offsite training and Client TDYs to / from Moyock.
- Serve as project leader for special initiatives as assigned by the D/NSD.
- Collaborate with the all program C1s in the development and implementation of various innovative approaches to communicating key initiatives and strategies in support of the programs goals and objectives.
- Prepare confidential correspondence, reports, and other complex documents.
- Manage responsibility for archiving, records retention, data backups, and confidentiality of records.
- Provide direction, coaching, and overall management to ICs as needed. Sets goals and deadlines for the program as needed.
- Collaborate across functions- including Accounts Payable, Procurement, Project Control, Risk Management and IT to resolve issues, manage claims and support operational needs.
- Review project Standard Operations Procedures and make recommendations for revisions
- Conduct incident investigations and make recommendations for disposition or corrective action, author reports, guide and advise executive management on outcomes.
- Position is considered hybrid with occasional travel to Herndon, VA and Moyock, NC locations. Business travel to domestic or international locations may be expected up to 10%.

QUALIFICATIONS
- Minimum of 15+ years of related administrative executive experience required.
- High level of effective interpersonal and communication skills, with ability to correspond with senior level clients, executive and others verbally and in writing.
- Must have strong working ability with MS Office suite and file administration using Sharepoint and other software. Desired skills include familiarity with Deltek, Concur and ADP.
- Ability to make administrative and procedural decisions on sensitive and confidential issues.
- Have the ability, willingness and initiative to organize and lead collaborative efforts among a wide range of individuals and departments.
- Must have the ability to obtain and maintain a US Top Secret level clearance.
- At least 15 years working with classified programs and customers,
- May be required to lift and carry awkward items weighing up to 25 lbs. Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the workday.
