Makai is seeking a highly organized and detail-oriented Special Events Coordinator to support the Advanced Framework for Simulation, Integration, and Modeling (AFSIM) Model Management Office (MMO) contract. Your career at Makai enables the AFSIM MMO to fulfill its mission to “provide U.S. Department of Defense (DoD) acquisition, operations analysis, and research and engineering communities with an ever-expanding toolset to ease scenario and model creation, strengthen analytical conclusions, and enrich virtual wargaming experiences.” As a member of our team, you will support the corporate and customer mission to provide support for AFSIM MMO.
The Special Events Coordinator will perform the following duties:
Essential Duties and Responsibilities
- Collaborate with stakeholders and sponsors to define event goals, schedules, venues, and constraints (e.g., target audience, budget).
- Engage organizational security representatives in major event planning activities.
- Oversee venue selection, vendor coordination, and logistical requirements, including space, catering, security, A/V setup, lodging, and transportation.
- Develop and execute event promotion strategies to reach target audiences.
- Manage registration processes using authorized platforms, ensuring secure collection of attendee details.
- Oversee the collection of event-affiliated fees, if applicable.
- Ensure compliance with security requirements for restricted events, including clearance verification and export control authorization.
- Coordinate with host security teams to implement security protocols before, during, and after the event.
- Ensure adequate personnel are available for setup, check-in, facilitation, and tear-down.
- For hybrid or virtual events, test and maintain virtual collaboration platforms with contingency plans for technical issues.
- Oversee event moderation and facilitation as needed.
- Manage post-event activities, including attendee rosters, proceedings, briefings, recordings, and reports.
- Gather and analyze attendee feedback to improve future events.
Degree/Education and Training Requirements
- At least a High School diploma with at least 7 years of related work experience.
Desired Skills/Education
- Associate's or Bachelor's degree in a technical field.
- Familiarity with AFSIM and its application within the DoD environment.
Experience
- At least 2 years of experience in event planning, coordination, and execution, preferably in a technical or government setting.
- Strong organizational, communication, and problem-solving skills.
- Experience managing event security, registration processes, and logistical coordination.
- Familiarity with event-related compliance, including clearance verification and export control policies.
- Ability to manage multiple events simultaneously in a fast-paced environment.
- Proficiency in virtual collaboration tools and event management software.
Working Conditions
- Required to sit for extended periods of time and maintain focus.
- Travel may be required.
Security Clearance
- Applicants selected will be subject to a U.S. Government background investigation and must meet eligibility requirements for access to classified information: Eligible to attain a Secret level U.S. DoD security clearance.
Estimated Compensation
$26.68 - $28.68 hourly (Part time)
